Key Responsibilities Aftersales & Technical Administration
Log, track, and manage incoming support, warranty, and spare-parts requests, ensuring excellent service levels are maintained.
Prepare accurate quotations, costings, and invoices for parts, services, and technical support actions.
Assist the technical team by compiling relevant documentation, gathering technical information, and preparing cases for engineering reviews.
Process orders, raise purchase orders, coordinate supplier updates, and maintain accurate entries in ERP/CRM systems.
Coordinate shipping logistics and handle customs documentation for the dispatch and delivery of parts and equipment.
Produce post-visit reports, documentation packs, and provide follow-up recommendations.Client Communication & Coordination
Work closely with the Client Experience Coordinator to ensure clear, timely communication with clients.
Handle incoming enquiries and calls, ensuring they are directed and resolved efficiently.
Maintain detailed and accurate communication logs, ensuring transparency and progress tracking.
Create all written communication to reflect our client’s premium service standards.Parts Processing, Logistics & Operational Support
Oversee end-to-end processing of spare parts, including ordering, sourcing, tracking, and timely delivery.
Manage freight bookings and customs documentation for shipments.
Ensure parts and equipment required for troubleshooting and support tasks are dispatched quickly and accurately.
Monitor stock levels for frequently used items and flag replenishment needs.Cross-Team Collaboration
Act as the central operations link between Aftersales Technicians, the Client Experience Coordinator, and other internal teams such as Production, Design, and Procurement.
Share technical and client insights with internal teams to foster continuous improvement.
Support the scheduling, planning, and coordination of aftersales activities, including technical team visits.
Maintain high organisational standards across trackers, databases, and workflow documentation.Candidate Requirements Essential Skills & Experience
Demonstrable experience in an administrative, coordination, operations, or aftersales support role.
Exceptional organisational skills with the ability to manage multiple tasks and deadlines simultaneously.
Excellent written and verbal communication skills with a professional, confident manner.
Proficient in preparing quotations, invoices, and structured documentation.
Competency in Microsoft Office applications.
The ability to understand and interpret basic technical information, ideally within marine, automotive, or engineering contexts.
A proactive, detail-oriented, and customer-focused approach.Desirable Skills & Experience
Experience with ERP or CRM systems (knowledge of Sage 200 would be advantageous, but training is provided).
Background in logistics, parts coordination, or shipping administration.
Familiarity with the marine, automotive, aviation, or luxury goods sectors.
