JLL are recruiting for a proactive and detail-oriented Assistant Facilities Manager to join the team at The Amp, an education and innovation campus in the heart of East London's vibrant cultural scene. Located on Commercial Road, The Amp is a state-of-the-art, 135,000 sq ft building dedicated to higher education. This is a unique chance to contribute to the smooth running of a cutting-edge educational space and play a key role in the experience of the next generation of creative talent.
The Assistant Facilities Manager (AFM) will assist Facilities Manager(s) (FM) in the delivery of facilities services to occupiers in one or more managed properties to best practice standards defined by JLL and is expected to understand the business objectives of the investment. The position is based on site at The Amp in Aldgate East London and will seek direction from the FM, taking guidance as appropriate and will work closely with the FM and the surveyor
Key Responsibilities and Deliverables
Facilities (property/portfolio) Management - Supporting the FM to;
Ensure that on-site management of the properties is undertaken in accordance with JLLs polices, processes and procedures .
Proactively identifying issues and working with operations teams and supply partners to manage them through to completion.
Undertake regular building "walks" , any items found to be requiring attention should be logged and proactively managed to an efficient close.
Liaise with occupier representatives referring matters upwards only if they cannot be resolved at local level.
Regularly liaise with occupiers and be the principal point of contact for advice and guidance in connection with the day-to-day physical operation of the building(s), in support of the FM(s) of any occupier matters that may influence property
Assist in the setting and controlling of service charge budgets, quarterly variance reporting and reconciliation to agreed accounting practices.
Assist in the procurement of all supplies and services at the property in accordance with the JLLs PAM procurement program. This will include the use of accredited Contractors only, usually on the basis of framework agreements, and JLLs purchase ordering systems. Monitor contractor performance against agreed standards.
Assist with the management of supply partners including the use of "Vantify" helpdesk/job logging system
Ensure work orders are managed proactively
Assist with collecting data from building systems for energy consumption and monitoring
Assist with reporting of incidents
Assist with delivering sustainability solutions for our client , promoting energy conservation and environmental responsibilities
Assist the building's 'Social Responsible Management' (H&S and environmental/sustainability) activities.
Assist in the management of the buildings' plant and equipment. Will be responsible for building management systems where appropriate.
Assist in the implementation of minor works.
Help prepare site regulations and issue permits to work for all contractor activities on site.
Maintain, test and implement disaster planning procedures to cover all emergencies. To organise and co-ordinate fire evacuation and bomb drills.
Establish and maintain proper site records in accordance with best practice rules.
Assist in the development and maintenance of occupier handbooks.
Assist in the monitoring of vacant/void property in conjunction with the clients' insurance policy.
Desired or preferred experience and technical skills:
You can meet tight deadlines and work efficiently and collaboratively as part of a team to solve problems with professionalism and service focused approach.
You have 3-5 years' direct facilities management operational experience.
You have experience using a Computerised Maintenance Management system for managing Preventative Planned Maintenance.
You have knowledge of H & S , contractors , statutory regulations
Required Skills and Experience:
You keep up to date with industry trends and have direct experience or an interest in facilities management and customer service.
You are open and have good communication skills.
You strive for excellence in what you do and share ideas for improvement.
You are adaptable to work to requests and projects that may vary from day to day.
