About us BATA was established as a farmers' cooperative in 1894 at Brandsby, North Yorkshire, 10 miles north of York. Today we are still an agricultural supply cooperative with 4,000 share members. We offer a wide range of products, including bulk and bagged animal feeds, pet foods, heating oil, LPG, timber, fencing, horse rugs, seeds or fertiliser, to name just a few. Role Purpose for Board Administrator The Board Administrator provides high-level administrative support to the Board of Directors. The role ensures the effective operation of the Board through the coordination of meetings, accurate minute taking, compliance with statutory and regulatory requirements, and the maintenance of strict confidentiality. Key Responsibilities of the Board Administrator: Governance & Board Support Act as point of contact between the Board, Secretary to the Society, executive management, and external stakeholders. Advise (in conjunction with the Secretary to the Board) the Chair and Board on best administrative practices. Meeting Management Plan, coordinate, and attend Board and Committee meetings. Ensure meeting venues are appropriate for the meeting with refreshments provided. Prepare and distribute, on relevant software, agendas, board papers, briefing materials, and presentations in a timely manner. Monitor follow-up actions and ensure timely completion. Documentation and Records Maintain official Board records, registers, and statutory documents. Manage document control systems and ensure version accuracy and accessibility. Administrative and Strategic Support Assist with Board evaluations, governance reviews, and strategic planning processes. Support annual general meetings and other formal governance events. Personal Attributes Credible, confident, and independent in advising senior leaders. Highly organised with strong attention to detail. Skills, Knowledge & Experience Exceptional organisational and time-management skills. Strong written and verbal communication skills, with the ability to produce high-quality minutes and reports. Ideally you will have significant experience in a senior administrative, executive assistant, or board secretariat role. You will ideally have advanced proficiency in office productivity tools and Diligent Board Management software.
