Summary
Freedom are currently recruiting for the role of Commercial Administrator to support our commercial team based out of our Stowmarket office.
Some of the key deliverables in this role will include:
Assist with the preparation, processing, and verification of subcontractor applications for payment
Collate and check subcontractor timesheets, dayworks, variations, and supporting evidence
Prepare, process, and submit valuations, invoices, and payment applications in accordance with contract terms
Raise purchase orders and goods received notes (GRNs) as and when required, ensuring alignment with budgets
Support the preparation and submission of client quotations for construction and R&M works
Compile structured and professional quotation packs for client review and approval
Create and submit completion packs for finished works, including handover documents and photographic evidence
Assist in preparing and justifying commercial claims, including provision of cost breakdowns and supporting records
Track and record client instructions, variations, and changes in scope for commercial review
Maintain accurate and up-to-date records on network drives, ensuring correct naming conventions and folder structure
Perform regular housekeeping of the company’s CAFM (Computer-Aided Facilities Management) system
Update CAFM records to reflect job status, completion notes, and evidence of works carried out
Liaise with internal operational teams to gather and validate commercial data for live projects
Support with cost tracking, commercial reporting, and forecasting across multiple construction and R&M contracts
Assist with the preparation of monthly cost value reconciliations (CVRs) and commercial summaries
Support tender and procurement processes, including issuing enquiries and obtaining supplier/subcontractor quotes
Manage incoming and outgoing commercial documentation, ensuring timely filing and document control
Chase outstanding information from suppliers, subcontractors, and internal teams to avoid commercial delays
Chase Age Debt
Monitor contract compliance and flag discrepancies to the Commercial Manager or Quantity Surveyor

Provide general administrative support to the commercial and operational teams across all ongoing contracts
Assist in preparing documentation for audits, internal reviews, and external client meetings
Ensure all commercial records are compliant, accurate, and audit-ready
Uphold confidentiality and professionalism in handling commercially sensitive information
Support ad hoc tasks and duties in line with project and business needs
