The Role

Reporting to the Head of Office Operations, the Concierge carries out a very important role within the business. As the first point of contact for all visitors into the TVC this role acts as an ambassador for the Brands and Publicis Groupe as a whole. The Concierges are responsible for managing both the visitor and employee experience which is a key focus here at TVC. When anyone is visiting the office, we want to make sure it is always a positive experience and therefore a highly welcoming demeanour is expected at all times. All Concierges are responsible for the efficient running of their floors and will be regularly looking to improve ways of working to be flexible with the business requirements. The Concierge role may also be asked to provide ad-hoc support to the wider Workplace Experience team as and when required.




What you will do

  • Ensuring a seamless visitor experience at all times and always seeking ways to improve the service you are providing
  • Welcoming guests and colleagues at reception in a friendly and attentive manner
  • Booking in all visitors to TVC for your floor with the Building Management Reception in a timely and efficient manner
  • Ensuring the reception area is not left unattended for long periods and adequate cover is always arranged for lunch, holiday and other absences
  • Providing full support to internal and external stakeholders as the front of house point of contact on your designated floor
  • Communicating any key messaging across your floors and maintaining an accurate distribution list
  • Taking ownership for the efficient running of your designated floor and ensuring all employees and visitors have what they require at all times
  • Liaising with hospitality, facilities and colleagues to ensure all meetings taking place on your floor are accurately booked, set up, and any food and beverage requests are delivered
  • Escorting guests to their booked meeting rooms and ensuring they are aware of any facilities they may require during their visit such as toilets, kitchen etc.
  • Ensuring meeting room AV is functioning at the beginning of each day and supporting the setup of AV equipment to internal meeting rooms (e.g. TV, laptops, Audio Conference, Video conference, flip charts, presentation boards)
  • Build strong relationships with the other floor concierges and the PA community to ensure efficient building wide communication and guest service is provided by this 'one team' approach
  • Ordering and maintaining the stationary supplies for your floor • Arranging courier bookings for your floor
  • Liaising with colleagues and the dispatch team to ensure post is dealt with in a timely manner
  • Assisting in the logistics of any events taking place on your floor including internal meetings and events and helping with the set up
  • Giving new starters a tour of your floor and answering any queries they may have regarding the floor/building facilities and operations
  • Providing ad hoc support to the PA community and wider Workplace Experience Team




Who you are

  • Ideally you will have experience in a similar role
  • Passion to provide an excellent customer experience in everything that you do
  • Excellent communication skills both written and verbal
  • Technical know-how and capabilities on audio, video and other media services equipment
  • A great ambassador for Publicis Groupe and our Brands
  • Highly organised and have an eye for detail
  • Great interpersonal skills and can positively engage with colleagues and visitors
  • Able to demonstrate grace under pressure
  • Able to work on your own initiative and take responsibility where necessary and to work as part of a team
