Job Description
We are looking for a polished corporate PA with previous experience in a PR, communications or governance role in a large or multinational organisation, to provide executive administrative support a department head.
\n\nThis role takes responsibility for ensuring smooth day-to-day operations, enabling the client to focus on strategic priorities. This role requires a forward-thinking candidate, capable of anticipating needs, juggling priorities and proactively addressing potential challenges independently before they arise.
\n\nThe successful candidate will be a gatekeeper and key liaison, managing communication flow and prioritising tasks with minimal supervision, and must therefore have the experience and diplomacy to interact effectively across a wide range of people and personalities, including external suppliers and third parties, always maintaining discretion and confidentiality.
\n\nThis candidate must be comfortable working flexibly, as there may be regular evening and weekend work, as well as the need to work around different time zones.
\n\nExcellent written and oral English language skills are a priority, alongside high levels of accuracy and attention to detail. Fluency in other languages would be beneficial. Confidence with MS Office suite and the ability to create custom reports efficiently are essential.

Duties include but are not limited to:

- Inbox email management, prioritising / organising / responding \n\t
- Complex scheduling / diary management, ensuring alignment across multiple stakeholders and time zones \n\t
- Cultivate effective working relationships with internal stakeholders \n\t
- Effective / proactive preparation for all meetings \n\t
- Act as liaison with CEO / Chief of Staff, managing complex communications \n\t
- Coordinate with Travel team to schedule / plan complex travel logistics \n\t
- Attend meetings alongside the principal to capture, document and manage critical discussion points. \n\t
- Provide summaries of meeting notes to stakeholders / ensure completion \n\t
- Credit card expenses reconciliation \n\t
- Prepare accurate PowerPoint presentations, documents and agendas \n\t
- Manage logistics & requirements for meetings, events, and off-sites \n\t
- Support yearly department budget preparation \n\t
- Create event invitations and response letters \n\t
- Continuously seek opportunities to improve processes and workflows \n
