The Executive Assistant provides high-level administrative support to the Senior Leadership Team (SLT), managing schedules, coordinating meetings, preparing reports, and ensuring smooth day-to-day operations. This role demands exceptional organisational skills, discretion, and the ability to handle multiple priorities efficiently in a fast-paced environment.
Key Responsibilities
Meeting Support:
* Schedule and coordinate meetings, including preparing agendas and accurately taking minutes.
Diary Management:
* Organise and maintain diaries for SLT members, coordinating internal and external appointments with efficiency.
Travel Arrangements:
* Book flights, accommodation, and transportation for domestic and international travel for SLT members, ensuring all arrangements run smoothly.
Administrative Tasks:
* Manage and maintain executives’ schedules, prepare and edit correspondence, reports, presentations, and other documents as well as handle travel expenses/reimbursements
Communication:
* Act as the first point of contact for SLT members, managing emails and calls with professionalism and discretion.
Event Coordination:
* Assist in planning and organising meetings, events, and conferences as required.
Social Media
* Effectively managing LinkedIn accounts and posting engaging social media posts.
Essential Experience, Skills and Abilities:
Qualifications, Knowledge and Experience:
* 1-2 years proven experience in an executive assistant or similar administrative role, ideally supporting senior executives.
* Excellent minute-taking skills with strong attention to detail.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Exceptional organisational and time-management skills.
* Ability to maintain confidentiality and handle sensitive information.
* Strong written and verbal communication skills.
