THE OPPORTUNITYA well-established and growing Independent Financial Advisory firm based in Horsham is looking for an experienced Financial Services Administrator to join their close-knit, friendly team. This is a permanent, full-time, office-based role in a firm that genuinely values its people where personality and capability matter as much as qualifications. The business is expanding rapidly, recently took on additional outsourced workload, and is planning further growth through practice acquisitions. If you're a dependable, detail-oriented administrator who knows financial services inside out, this is a fantastic opportunity to grow with a thriving firm.THE ROLEWorking closely with a team of financial advisers and the paraplanning function, you will be responsible for end-to-end administration support across pensions, investments, and compliance. Your day-to-day will include:Preparing and drafting suitability letters for pension top-ups, withdrawals, new pension arrangements, and investment recommendationsAccurately processing new business applications across pensions and investment productsLiaising with providers, platforms, and clients to obtain required information and documentationMaintaining and updating client records in line with FCA compliance and regulatory standardsSupporting advisers with pre- and post-meeting administrationEnsuring all documentation meets internal compliance standards and FCA requirementsMonitoring pipelines and following up on outstanding cases to ensure timely progressionOccasionally supporting client-facing interactions such as trust registration, form signing, or short Zoom calls when advisers are away from the officeWHAT WE'RE LOOKING FORThe ideal candidate will be an experienced financial services professional who is organised, accurate, and comfortable working autonomously in a fast-paced environment. The firm has a strong team culture personality fit is important.Essential:Financial services admin experience: proven background in a similar role within an IFA, wealth management, or financial planning environmentPensions and investment knowledge: strong working knowledge of pension products, investment wrappers, and associated administration processesSuitability letter experience: demonstrable experience drafting and processing suitability letters/reports for pension and investment businessFCA compliance awareness: familiarity with FCA regulatory requirements and how they apply to day-to-day administrationWritten communication: excellent written English with a high attention to detail letters and client-facing documents must be accurate and professionalIT proficiency: competent with Microsoft Office (Word, Excel, Outlook); experience with financial planning platforms or CRM systems an advantageDesirable:Experience with Xplan or similar financial planning/CRM platformsKnowledge of Quilter or other network-based advisory environmentsExposure to trust registration, LPA, or complex estate administrationAny relevant financial services qualifications (e.g. CF1, R01, or equivalent)WHAT'S ON OFFERSalary of £30,000 £35,000 per annum, dependent on experience23 days annual leave, rising by one day per year to a maximum of 25 days, plus bank holidaysCompany pension schemeVitality Private Medical Insurance (PMI) employer covers 50% of the premiumDiscretionary bonus schemeEarly Friday finish option: leave at 3pm on Fridays by making up two hours earlier in the weekParking available nearbyFriendly, close-knit office culture with genuine career development opportunities the director actively sponsors promising team members through professional qualificationsJBRP1_UKTJ
