Full time permanent position - 45 hours per week


Salary - £40,000 - £45,000 per annum


Job Purpose


To provide leadership to the teams to deliver a world class removals service at the branch. To effectively manage the resources to ensure there is excellent communication establish with the clients. Operate all available resource in the most efficient manner to maximise profits. Continuous and effective responsibility for ensuring that the company complies with its legal responsibilities relating to health and safety, the operation of heavy goods vehicles and in particular the company’s’ undertakings given in respect of maintenance, tachograph and drivers hours compliance overloading prevention and prevention of speeding.

 

The Role


Reporting to the Branch Manager, your main duties will include but not be limited to:


Maintenance 

 

·       Check weekly to ensure that all vehicles / trailer inspections scheduled for that week have been completed in full 

·       Check all inspections scheduled have been undertaken on time and at agreed intervals 

·       Ensure the inspection sheets are filed and preserved for at least 15 months

·       Ensure that all defects identified on the inspection sheet have been rectified and the sheet endorsed accordingly 

·       Maintain and keep updated the wall planner/flow chart with MOT dates, tachograph calibration dates, inspections due and inspections completed 

·       Ensure that all drivers complete a daily check report sheet and return it to the office fully completed in all sections whether there is a defect found or not. 

·       Ensure that any defects reported are rectified evidence of rectification is endorsed on the defect report i.e. the follow up action taken and recorded

·       Ensure the maintenance contract is current and available  

·       Ensure that a copy of the current maintenance agreement has been sent to the traffic areas office

·       Investigate any prohibitions imposed and a report given in writing to the director as to why the prohibitions has been imposed and what action needs to be taken to prevent a repetition 

·       Record all annual test results and note any reasons for failure and any recommendations following investigation to the director (specific a director) with any recommendations


Tachograph and Drivers Hours


·       Ensure that all drivers have received training in respect of driver’s hours and tachograph compliance and record keeping 

·       Ensure that all drivers have been issued with instructions and guidance on drivers’ hours and tachograph compliance 

·       Ensure that all charts which require completion are correctly completed and collected from the time within the statutory period and a record kept 

·       Ensure that period checks are undertaken as to compliance of the rules on drivers’ hours and tachographs and if not, such steps which are necessary to prevent a repetition 

·       Report in writing weekly to the director such breaches and details of action taken together with any recommendation to ensure compliance  


Warehouse Manager Duties


·       To manage the administration of all operational paperwork for all warehouse areas. Ensuring the efficient file and control of all necessary documents in line with company procedure.

·       To be the key customer liaison / communication link between Edwards Storage and customers / clients and alternate facilities.

·       To ensure that all Operational matters are dealt with within the set timeframes.

·       To complete all reports and distribute to the relevant members of the company accordingly.

·       To provide accurate and clear information for other warehouse functions.

·       Forklift truck operations and warehouse duties where applicable and where necessary.

·       Varied administrative duties as and when required.

·       To pro-actively assist the Branch Manager in the day-to-day management of the company and to deputise during holidays and absence.

·       Use of Moveware system to process all bookings and container movements.

·       To accurately record and log crate usage in the warehouse for the effective and timely invoicing by the administrative staff.

·       To ensure your team is managed, motivated, professional and efficiently run.

·       Management of the warehouse and warehouse team in a cost-effective manner – whilst making recommendations and suggestions to management as to how to improve the ongoing cost effectiveness of the company.

Ensuring that the warehouse is running at full capacity and looking for opportunities as to how to maximise this


General Duties 


·       Managing the operation diary

·       Moveware, effective management 

·       Authorisation of time sheets, ensure correct payment is made for correct hours worked. 

·       Ensuring expense claims are authorised correctly with supporting VAT receipts on a weekly basis

·       Effective management of holidays, ensuring authorisation and accurate information is recorded and sent to head office 

·       Dealing with customers’ queries where appropriate

·       Dealing with employees’ queries where appropriate

·       Ensuring all new employees complete all onboarding documentation and forward to HR

·       Implement controlled processes/procedures in conjunction with company policy / initiatives

·       Interface with management and staff to ensure queries are dealt with appropriately and consistently in compliance with Company policy/legal/Health and Safety regulations

·       Assisting the branch manager with processing correspondence in responses to customer complaints / damage reports

·       Any additional duties required at the needs of the business

·       Willingness to work flexible hours (24/7)
