Senior Project Coordinator

We are looking for a Project Co-ordinator to coordinate project activities, including simple tasks and larger plans. You will manage schedules, arrange assignments, and communicate progress to all team members. This area of our business is fast paced, where workload management will be key. The role will act as the primary support function for the project operational delivery teams.Project Co-ordinator responsibilities include preparing action plans, analysing risks and opportunities and gathering necessary resources. For this role, you will work with a team of Project Managers, so good communication, workload management and collaboration skills are essential.KEY RESPONSIBILITIESManage the scheduling processes to enable maximum performance from the operational project delivery teamsEnsure that scheduling supports exceptional contract deliveryDocument Controller/Project Admin providing administrative support for all projects from commencement to completion, including maintaining drawings, specifications, RFI, EWN, CE and more.Liaison with project leads and suppliers to approve timesheets (as per company processes)Raise new Orders within the system (as per company processes)Raise Purchase orders once approved (as per company processes)Administer and maintain the Company training matrix, arrange renewals, and provide assistance with training arrangements, records, and presentations.Provide administrative support to the Senior Project Manager, specifically regarding the maintenance of the Companys HSEQ Assurance system.Maintain compliance to company accreditation systems by updating documents and monitoring compliancePrepare and manage external auditsProvide administrative support to Project Managers (Preparing site safety packs, issuing updated documents, Gathering O&M information and issuing to client, Etc)Provide cover for other members of the team during holidays and absence, and cover duties when necessary.Ensure prompt resolution of queries, clearing communicating and setting expectationsPromote and develop best practiceBe a point of contact for Engineers, client, and customerNotify line manager of potential employee issuesProvide performance reports when requiredEnsure requirement of H&S and company charter are followedInput financial data onto IT systemsManage all aspects of operational administrationSupport operational team to ensure works are managed in accordance with contract requirementsProcess & provide information to all parties involved to progress workMaintain correspondence, telephone, and email protocolManage contract paperwork & ongoing maintenance of fileCreate and update workflowsPrepare and provide documentation to internal teams and key stakeholdersABOUT YOUPunctual and reliablePrevious experience working in an office environmentGood organisational skills and workload managementClear communicator with a can do attitudeRequirementsSKILLS & KNOLEDGE REQUIREDWork experience as a Project Administrator, Project Coordinator, or similar roleHands-on experience with technical documentation and schedulesKnowledge of project management software (e.g., Trello or Microsoft Project)Solid organisation and time-management skillsTeam spiritHave knowledge of the materials and methods used in the building and Construction industry.QUALIFICATION REQUIREDNVQ level 2-3 in Business Administration?Advanced skills with Microsoft Excel & WordIndustry-based experience may be considered.JBRP1_UKTJ
