Our Client a non-for profit climate company are seeking an energetic, highly organised PA & Office Coordinator to step in on a temporary basis and keep their London workspace running smoothly. If you’re proactive, people-focused, and love being at the centre of a buzzing, collaborative office, this role is for you.

\n\n

As the go‑to person for office operations, team culture, and day‑to‑day coordination, you’ll help create a warm, welcoming environment where people love to work, connect, and thrive.

What You’ll Be Doing Office Management

    \n\t
  • Oversee the daily running of the office to ensure it’s productive, tidy, and welcoming.
  • \n\t
  • Act as the first point of contact for the landlord, suppliers, maintenance, and facilities.
  • \n\t
  • Manage meeting room bookings, visitor logistics, and office‑wide communications.
  • \n\t
  • Maintain our booking systems (Kadence + Joan) and support with user setup and queries.
  • \n\t
  • Support onboarding for new starters to ensure a smooth, friendly introduction to the team.
  • \n

Team Coordination & Culture

\n\n
    \n\t
  • Plan and deliver engaging team socials, activities, and community moments.
  • \n\t
  • Champion a positive, inclusive office culture that blends productivity with fun.
  • \n\t
  • Collaborate with the People Team and our “Chief Fun Officers” on events and initiatives.
  • \n\t
  • Coordinate logistics for workshops, large meetings, and major events such as London Climate Action Week — including travel, accommodation, room setups, and catering.
  • \n

Administrative Support

    \n\t
  • Work closely with Executive Assistants to keep processes aligned.
  • \n\t
  • Provide admin support across scheduling, expenses, record‑keeping, and travel coordination.
  • \n\t
  • Manage logistics for internal and external events.
  • \n\t
  • Monitor shared inboxes and ensure timely responses.
  • \n\t
  • Keep data accurate across our systems (HubSpot CRM, Asana).
  • \n\t
  • Support small projects and ad‑hoc tasks that help the organisation run smoothly.

About You

\n\n

You’ll be great in this role if you’re:

  • Experienced in a similar PA, Office Coordinator, EA, or admin role — or ready to step up.
  • \n\t
  • Exceptionally organised, proactive, and comfortable juggling multiple priorities.
  • \n\t
  • A confident communicator with strong interpersonal skills and excellent written English.
  • \n\t
  • A natural community‑builder who enjoys creating moments that bring people together.
  • \n\t
  • Positive, solutions‑focused, and happy working collaboratively.
