Owen Reed is looking for an Administrator for a top law firm in London.

This is an exciting opportunity to join a busy Business Services Centre team in a varied administrative role. The successful candidate will provide high-quality office and document support across the firm, helping to ensure work is completed efficiently, accurately and to a high standard.

Working pattern: Hybrid – 3 days in the office, 2 days from home

The Role

The Administrator will support legal and business services teams with a broad range of administrative, document handling and workflow tasks. This role is ideal for a proactive and detail-oriented individual with recent office administration experience, ideally gained within a law firm or professional services environment.

You will play an important role in supporting the smooth running of day-to-day operations, preparing key documents and bundles, maintaining filing systems and delivering excellent service to internal stakeholders.

Key Responsibilities

  • Save documents to the document management system and liaise with Reprographics for scanning when required
  • Complete document engrossments, including binding and finishing documents in conjunction with EAs and secretaries
  • Create, prepare and assemble sales packs, court bundles and exhibition materials
  • Assist with the preparation and maintenance of court bundles and related exhibits
  • Provide administrative support for specific projects across Legal and Support Departments
  • Support efficient filing and document administration processes, including updating online registers and saving documents to DMS and datasites
  • Complete smaller copying tasks within practice areas where required
  • Use workflow management tools proactively, taking ownership of tasks from start to finish and ensuring deadlines are met
  • Work collaboratively within the team and provide cover where needed, including flexibility around office days
  • Build a strong understanding of internal client requirements, departmental procedures and service standards
  • Identify opportunities to improve processes and contribute to the continuous development of the General Administrative Team

Skills and Experience

  • Recent office administration experience, ideally within a law firm or professional services environment
  • Good typing speed with a high level of accuracy
  • Strong working knowledge of Word, Excel and Adobe
  • Previous experience using a document management system is desirable, though training will be provided
  • Some experience handling legal documents would be beneficial
  • Excellent attention to detail and accuracy
  • Strong organisational skills and the ability to manage multiple tasks effectively
  • A proactive and flexible approach to work
