SALARY: £23,873 - £25,000 per annum (depending on experience) + Benefits
LOCATION: Worthing, West Sussex (100% Office Based)

WORKING HOURS: Monday to Friday- 9:00am to 17:30pm

We have a fantastic new job opportunity for an Administrator / Business Support Administration Assistant who has excellent administrative, organisational, time-management, customer service and communication skills.
Working as the Administrator / Business Support Administration Assistant you will handle a variety of office administration tasks, working closely with the Business Support Manager and Finance Team to keep processes efficient and communication flowing seamlessly across the team.
As the Administrator / Business Support Administration Assistant you will bring a proactive mindset and genuine enthusiasm to your work, taking pride in managing your administrative responsibilities with care and attention. DUTIES
Your duties as the Administrator / Business Support Administration Assistant will include:
Office Support
Manage front desk, including answering calls, handling mail, and greeting visitors
Maintain office supplies and manage filing systems (both physical and digital)
Perform general administrative duties and update contact lists
Business Support
Monitor Sales and Accounts inboxes
Process customer orders, licenses, and maintenance requests with a focus on accuracy
Manage all accounting transactions, including raising invoices, credit notes, and purchase orders, using QuickBooks Online
Handle invoicing discrepancies and negotiate payment terms with suppliers.
Administer credit control, including collecting payments and managing supporting documents
Provide backup support for the Finance Administration team and create support certificates
Facilities
Oversee building maintenance and liaise with suppliers for repairs and services
Monitor and manage stock of kitchen and office supplies
Health & Safety
Coordinate office health and safety, including risk assessments, supplier visits, and managing the H&S log
Oversee First Aid and Fire Marshall responsibilities
Ad-hoc Tasks
Assist the Operations Manager with projects and other duties as needed
CANDIDATE REQUIREMENTS
Positive, flexible, proactive attitude with a strong sense of responsibility to ensure the highest standards are met throughout the business
High attention to detail is essential
Able to communicate clearly and effectively at all levels
Confident telephone manner
A good level of numeracy - experience of basic accounts is desirable
Good IT skills and proficiency with Microsoft Office packages
Ability to establish and maintain effective administration processes
Excellent organisational and time management skills
Calm, organised and able to work well within a team
Ability to work on own initiative and as part of a team
Ability to plan, organise and prioritise own workload
Previous use of CRM/database applications
