Admin Assistant An exciting opportunity has arisen for an experienced Administrative Assistant to join a leading organisation based in Belfast. This is a Full-Time, Fixed-Term, position to cover up to 3 months (with the possibility of being extended thereafter). Working hours: Monday to Thursday: 8.50am - 5pm and Fridays: 8.50am - 4.25pm. (36.5 hours per week). With an hourly rate of £13.27 per hour. A Basic Enhanced Check will be required. Closing date: Friday 8th August Essential Criteria: Recent administration experience, to include working with data which must be processed accurately. Excellent IT skills, with demonstrable experience of using Microsoft Word, Excel and Outlook. Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels. Ability to manage and prioritise a busy workload while adhering to deadlines. Ability to work on your own initiative as well as part of a team. Ability to maintain confidentiality at all times. Strong attention to detail ensuring high levels of accuracy. Desirable Criteria: Previous experience of working in higher education, or within a HR, Student Admissions, Facilities or Finance environment. Previous experience of working with a management information system. Main Duties and Responsibilities: Provide administrative support to contribute to the smooth operation of activities (and other departments when required) and assisting other teams within the business and when directed. To email and phone extensive lists of applicants and other stakeholders to encourage responses and ensure actions are taken and the return of vital documentation essential to the operation of the business. Monitor, track and record progress of this activity and report to the Team, such as Access NI checks, return of a range of documentation from perspective new members etc. To process documentation received by the Registry office following set procedures (e.g. invoices, application forms, qualification certificates etc.). Assist in the management and provision of basic responses for the inboxes. Reproduce letters/documents/presentations typically using standard formats or templates. Assist with the organisation of internal or external meetings/events/conferences through booking meeting rooms and processing catering requests and collating information or materials. To co-operate with other colleagues from other teams, as directed, to contribute to the achievement of work objectives. To deal with large numbers of queries during the confirmation and clearing period. Assist with enrolment and registration activities and organisation of events. To interrogate relevant databases to produce management information as required. Enter data onto existing databases and/or spreadsheets. To carry out record keeping, filing, photocopying and data entry to ensure accurate records are maintained. To run automated or routine reports in relation to records and interrogate relevant information systems to produce management information as required. To enter data into relevant information systems (e.g., QSIS) and follow up on data quality issues. To check information/figures against source data and report any anomalies. To prioritise allocated tasks within daily routine, under the direction of the Team, to ensure work is completed to time and appropriate standard.
