PURPOSE OF ROLE


Alder King is a market‑leading provider of Property and Facilities Management services, trusted to manage an impressive range of commercial assets—from high‑profile office buildings and retail centres to business parks and complex mixed‑use developments.


As an Assistant Facilities Manager, you’ll play a vital and hands‑on role in the smooth running of a diverse UK‑wide portfolio. Working alongside an experienced Facilities Management (FM) team, and our wider Management Services team, you’ll help coordinate maintenance strategies, support the procurement and management of contractors, and contribute to the efficient delivery of both planned and reactive works.


You’ll also be out on site regularly, carrying out inspections and ensuring that Health, Safety and Environmental standards are upheld across every building we manage. RESPONSIBILITIES


Operational and Helpdesk Support:


  • Provide day‑to‑day operational support to the FM Helpdesk, ensuring effective communication with tenants, clients and contractors regarding the progress and status of works.
  • Coordinate reactive repairs and minor works, ensuring timely instruction, follow‑up and resolution.


Heath, Safety and Compliance:


  • Carry out periodic site inspections to assess compliance with Health & Safety, environmental and quality standards.
  • Record, track and monitor safety‑related actions, ensuring relevant information is kept up to date in risk registers and other compliance systems.
  • Support the timely collection, verification and management of statutory documentation, including certificates, reports and photographic evidence.


Supplier and Contractor Management:


  • Review contractor quotations, applications for payment and invoices to ensure accuracy and compliance with contractual and operational requirements.
  • Assist with supplier performance monitoring, attending contract review meetings and preparing meeting minutes and follow‑up actions.


Project and Contract Support:


  • Support the planning, coordination and delivery of minor project works, ensuring clear communication, appropriate scheduling and accurate record‑keeping.
  • Assist the wider FM team with general contract administration and portfolio‑wide operational planning.


GENERAL

  • Collaborate effectively with colleagues and third‑party partners to support seamless service delivery.
  • Share relevant knowledge and best practice with colleagues to contribute to continuous improvement across the team.


QUALITIES AND QUALIFICATIONS


Essential:


  • Proficiency in Microsoft Office applications and experience of FM/CAFM systems.
  • Strong research, analytical and reporting skills.
  • Very good communication and interpersonal skills, with the ability to convey information clearly and succinctly.
  • A proactive, positive and professional approach with the ability to work both independently and as part of a team.
  • Strong organisational skills with the ability to manage multiple priorities and adapt quickly when circumstances change.
  • Ability to stay organised and make sound decisions in time‑sensitive situations.
  • Full UK driving licence with the ability to travel on an ad hoc basis.


Desirable:


  • Holds IOSH Managing Safely qualification or is willing to work towards this.
  • Knowledge of outsourced contract management principles.
  • Experience within a managing‑agent environment or similar property‑related operational setting.


PRIMARY LOCATION


The role will be based within the Bristol office. However, due to the nature of our business you may be required to work in other offices and/or locations from time to time.
