Band 3 Emergency Department Officer Location: Causeway Hospital Hours: Working a rota system 30-35 hours a week on average. Rota will include weekend/evenings and public holidays. Pay rate: from £12.31 - £26.67 per hour JOB SUMMARY: The postholder will provide a high level clerical service to Consultants, Medical Staff and other Professionals in ED and work as an integral part of the team. He/She will be expected to work under pressure without direct supervision. As the post holder will be ED based, he/she may be exposed to odours and will have sight of patients in distressing situations and specimens taken for investigations. He/She will use the Encompass Computerised System and full training will be given. KEY RESULT AREAS / MAIN RESPONSIBILITIES Reception Duties Be the first point of contact for patients and relatives in the Emergency Department. Registration and updating of all demographic details for all patients presenting at ED reception / ambulance admissions using the Encompass computer system. Accessing and cross referring the Asastra system for patients referred from Phone First. Checking the CCG system for referrals to Emergency Service and recording appropriately on arrival to the department. Booking of patients appointments and follow up on the Trust system. Complete scanning for patients records as required. Work in line with data quality standards Data Dispute Network Protocol which includes flagging patient for merge and or raising vfires for data disputes or changes to patients records to ensure records are accurate and up to date. Ensure accurate waiting times are displayed and updated regularly as per department process. Communication Act as first point of contact for all disciplines and visitors to the department. Adhere to Health and Social Care Values when communicating with patients and visitors to the department . Answering telephone queries ensuring that messages are recorded correctly and passed on to the appropriate person. Alert medical staff if someone presents at the Reception who is visibly unwell and need urgent medical help. Alert Security when a patient becomes disruptive and displays abusive/threatening behaviour towards staff and other members of the public. Also alert security if anything suspicious is seen on the ED Dept CCTV. Liaising with GP Surgeries, medical and nursing staff, multi-disciplinary team members, other hospitals, medical records departments re patients' Frequent communication with distressed patients and relatives. Booking of ambulance transport for patients on discharge or transfer. Booking of ambulance transport for investigations on other hospital sites. Inform Dalriada Doctor of deaths of patients in ED. Arrange interpreters when needed using correct processes and procedures. Deal with all hospital enquiries from switchboard during 8pm to 9am. General Duties Provide a clerical service to the Ward/Department Manager, Nursing Staff and other professionals. Distribution of incoming and outgoing mail. Continual use of computer system to provide information as required. Order and maintain an adequate supply of stationery as required by the ward/department through non stock, stock and high density storage system. Ensure confidentiality is maintained. Ensure adherence to NHSCT policy on Infection Control./Bare below the elbow. Provide/organise emergency cover for admin roles when Admin Manager not on duty.(5pm - 9am Mon - Fri) (24 Hrs on Stat days and weekends) Use of equipment within the department eg Multi function device in accordance with the Trust Policies and Procedures and maintenance of the same. Report of faults to Estates Department, IT Department and telephony. Maintain a high standard of service including good timekeeping in the workplace as required to meet the needs of the service. Daily cleaning of work stations, phones and computers with appropriate cleaning product as defined by Infection Control. Implement the major incident procedure until the Admin Manager arrives and participate in major incident training. Participate in planned and unplanned down time in line with Business continuity plan. Experience Qualifications/ Registration 3 years' experience in an office environment to include the use of computerised systems e.g. Microsoft Office. OR *4 GCSE's (A-C) including English Language or equivalent and 1 years admin experience to include use of computerised systems e.g. Microsoft Office. Other Flexibility in working hours - shift work will apply including working weekends/bank holidays/evenings/night shifts.
