The role
We are seeking a highly organised and proactive Business Manager to support the Medical Directors Office at The London Clinic, one of the UK's leading private hospitals. This is a part-time role (0.6 FTE, 22.5 hours per week) offering a unique opportunity to work closely with the Chief Medical Officer (CMO), Responsible Officer (RO)and senior leadership team, helping to shape the effective delivery of medical leadership across the organisation.
In this pivotal role, you will oversee the planning and management of the day-to-day work assigned to the MD, and RO, acting as a key point of coordination across a wide range of stakeholders throughout the organisation. You will represent the CMO in a variety of settings, ensure robust systems and processes support senior leadership responsibilities, and coordinate leadership meetings while tracking and progressing key actions.
The role will also involve commissioning and quality-assuring briefing materials, ensuring that matters under the CMO's remit are clearly documented, allocated and followed through to delivery. A central aspect of the position is managing the CMO's time and priorities (but not diary management) to maximise visibility across the organisation and support the wider engagement agenda.
The role requires the production of letters, outline papers and minutes related to monthly Divisional Clinical Directors Meetings and Professional Practice Advisory Group.
You will initiate communications with various internal and external stakeholders.
This position is ideally worked Tuesday and Wednesday on site, with one additional flexible day that can be worked from home. It is well suited to someone with healthcare sector experience (private or NHS background) who is confident working independently, able to draft high-quality papers and reports, and brings excellent communication and interpersonal skills.

Key Duties
CMO Office Management
- Lead the day-to-day running of the Chief Medical Officer's Office, ensuring priorities, actions and outcomes are delivered to schedule.
- Provide high-level executive support to the CMO, including coordinating objectives, business plans and operational priorities.
- Draft high-quality written materials on behalf of the CMO, including reports, presentations, briefing papers and correspondence.
- Build and maintain strong working relationships across The London Clinic and with internal and external stakeholders.
- Use discretion to manage issues, escalate appropriately and coordinate with Clinical Directors and senior colleagues where required.
- Monitor developments within the Medical Directorate and provide timely briefings and updates to the CMO and Executive team.
Performance, Governance and Project Support
- Coordinate meetings, agendas, minutes and action logs for key forums,
- Track delivery of agreed actions and projects, ensuring clear accountability and progress reporting.
- Provide project and administrative support across the Medical Directorate, including preparation of reports and documentation.
- Support activities relating to serious adverse incident management and look-backs.
- Support co-ordination of investigational matters with other colleagues
Finance and Business Planning
- Support business planning and the development of business cases within the CMO's portfolio.
- Assist with budget oversight for the CMO's Office, liaising with Finance and relevant teams to ensure accurate monitoring of expenditure.
Service and Process Improvement
- Ensure efficient administrative / business support for the CMO and Medical Directorate.
- Develop and maintain systems and processes to track priorities, actions and organisational initiatives.
- Undertake research and prepare briefing materials to support informed decision-making.
Skills and Experience
- Demonstrable experience supporting Board or Executive-level leaders in a similar business management or executive support role.
- Experience working in healthcare settings with knowledge of service management, governance and risk (private healthcare or NHS).
- Experience working within large, complex organisations and coordinating activities, projects and priorities across multiple stakeholders.
- Proven ability to draft high-quality briefing papers, reports and correspondence for senior leadership teams.
- Experience supporting performance management, risk registers and delivery of key organisational objectives.
- Strong organisational skills with the ability to manage competing priorities, tight deadlines and complex issues.
- Excellent written and verbal communication skills, with the confidence to work with senior leaders and clinical staff.
- Strong analytical skills and attention to detail.
- Proficiency in Microsoft Office applications, particularly Word, Excel and PowerPoint, with strong keyboard and minute-taking skills.
- Sound understanding of confidentiality and data protection requirements.
- Demonstrated ability to work independently, use initiative and exercise sound judgement.
- Strong interpersonal skills with the ability to build effective working relationships at all levels.
- Flexible and adaptable approach, with the ability to remain effective in fast-paced environments with changing priorities.
- Good business and financial awareness, including experience supporting budget monitoring or financial processes.
