We are entering a scale phase and are building the operational backbone of the company. 


Role Summary 


IMAGINE is seeking a highly organised and proactive Business Operations Manager to coordinate and drive day-to-day operational delivery across the business while acting as a trusted executive support partner to our Co-Founder & CEO. 


This role sits at the centre of our internal systems, event execution, and team coordination, ensuring smooth and consistent delivery as we scale. 


You will manage and improve project management processes, coordinate global and regional event end-to-end operations, and support the execution of strategic priorities alongside Valerie Keller. This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment, enjoys building structure within growth, and is confident working with senior stakeholders. Occasional travel may be required. 

 

The Opportunity 


This is a full-time, high-impact operational execution role for someone who combines: 


  • Strong project management and delivery capability 
  • Confidence supporting senior leadership 
  • Systems thinking and process design 
  • Experience coordinating high-quality events or client-facing experiences end-to-end 


You will act as: 


  • A trusted Executive Support Partner to the Co-Founder & CEO 
  • The operational lead for community membership and global and regional events 
  • The person ensuring that what is envisioned and sold is delivered consistently and professionally 


This is not a purely administrative role. It is a delivery-focused position with real ownership and visibility across the organisation. 


Reporting & Operating Model 


Reports to: Co-Founder & CEO (Valerie Keller) 


Works closely with: Director of Community & Membership (Dom Sanchez) 


Collaborates with: Relationship Managers, sales support, external vendors and partners 


You will have clear responsibility areas and strong cross-company visibility. This role is not responsible for P&L ownership. 


Core Responsibilities 


1. Executive Support to the Founder & CEO (Approx. 30%) 


  • Manage complex scheduling, priorities, and international travel 
  • Coordinate speaking engagements and external commitments 
  • Prepare briefing documents, materials, and follow-ups 
  • Support preparation for events, board-level conversations, and key meetings 
  • Act as a coordination lead and trusted organiser of priorities 
  • Maintain discretion and professionalism at all times 


2. Operations, Systems & Delivery (Approx. 70%) 


Operating Systems & Tools 


  • Manage and continuously improve Notion as IMAGINE’s operational hub 
  • Own project timelines and delivery tracking across functions, ensuring accountability and visibility 
  • Maintain project plans and workflows across: 
  • Community membership 
  • Events and experiences 
  • Internal coordination 
  • Ensure clarity of responsibilities, timelines, and follow-through 
  • Support CRM and communications workflows (Slack, HubSpot, etc.) 
  • Build repeatable processes as the company scales 


Events & Experiences 


  • Coordinate end-to-end operational delivery of: 
  • 2–3 IMAGINE Oxford Accelerators per year 
  • Global and regional salons (Paris, Amsterdam, NYC, Singapore, etc.) 
  • Manage timelines, logistics, suppliers, venues, and partners 
  • Support budgeting oversight and vendor coordination 
  • Develop structured playbooks for repeatable excellence 
  • Ensure a consistent, high-quality member experience 


Community & Service Delivery 


  • Partner with the Director of Membership & Community to support: 
  • Onboarding processes 
  • Member communications cadence 
  • Delivery of membership services 
  • Identify operational friction and proactively resolve issues 
  • Help build scalable systems as offerings expand 


Required Experience & Profile 


You are a strong operations or project professional who is comfortable operating with autonomy in a lean, founder-led environment. 


You likely have: 


  • Experience in startup, scale-up, or fast-moving organisations 
  • Strong event coordination or multi-stakeholder project delivery experience 
  • Experience managing systems and workflows (not just supporting them) 
  • Proficiency with Notion and other project management tools, CRMs and team workspaces (e.g. Slack, HubSpot, etc.) 
  • Excellent written and spoken English 
  • Confidence interacting with senior leaders and external stakeholders 
  • A calm, structured and solution-oriented working style

Compensation 


Annual salary: £60,000+ depending on experience 


  • 25 days annual leave, plus 1 day for your birthday 
  • Company pension 
  • Days in lieu for weekend work 
  • Participation in company bonus/share scheme
