Job Description

Our client, a well-established and highly regarded law firm with offices in Central London, is seeking an experienced Legal Secretary to join its busy Commercial Real Estate team.

Key Responsibilities

Document Production & Administration

  • Copy and audio typing of legal documentation
  • Transcribing, formatting and proof-reading documents
  • Converting PDFs into Word and applying house style
  • Managing dictation workflows
  • Organising printing, scanning and photocopying
  • Drafting correspondence to clients, HMRC, HMLR and other solicitors

File & Matter Management

  • Opening and closing files, including client due diligence and electronic searches
  • Compiling and indexing sales packs
  • Preparing lease and deed summaries
  • Scheduling deeds and arranging retrieval from storage
  • Preparing basic reports on title and replies to standard enquiries

Land Registry & Post-Completion

  • Preparing and submitting Land Registry applications
  • Drafting standard forms (e.g. AP1, TR1)
  • Responding to requisitions
  • Requesting office copies, searches and map enquiries
  • Drafting notices of transfer/charge and deeds of covenant
  • Managing post-completion formalities

Financial & Billing Support

  • Preparing invoices and payment requests (BACS/TT)
  • Checking ledgers and verifying bank details
  • Monitoring incoming payments and processing electronic payment requests
  • Supporting credit control with overdue reminders
  • Producing financial reports on file closure

Client & Team Support

  • Handling telephone and email enquiries professionally
  • Liaising with lenders, local authorities and third parties
  • Diary management, meeting coordination and video conferencing arrangements
  • Providing ad hoc administrative support to fee earners and other departments

Systems & Technology

  • Regular use of legal and business systems including document management, case management, digital dictation, e-signature platforms and standard Microsoft Office applications.

Key Skills & Experience

  • Previous Legal Secretary experience within a property or commercial real estate team
  • Strong organisational skills with the ability to prioritise in a deadline-driven environment
  • Excellent attention to detail and document accuracy
  • Confident user of Microsoft Office and legal document systems
  • Knowledge of Land Registry processes and post-completion work
  • Professional communication skills, both written and verbal
  • Proactive, adaptable and team-oriented approach
