Job Description

We have a permanent opportunity here at Dalkia UK for a Compliance Coordinator to join our team on our Selfridges contract. This role will be based on site in the London branch 5 days a week


This role will provide comprehensive compliance and administrative support to the Selfridges Oxford Street account, ensuring statutory and contractual compliance documentation is accurately processed, controlled, and reported through Dalkia systems.

Support the delivery of compliance assurance across four Selfridges stores and a supporting office, promoting strong governance, accuracy, and timely completion of compliance activities.

Work closely with the site management team, engineers, supervisors, and central compliance functions to ensure all compliance documentation, records, and processes are completed in line with Dalkia procedures and client requirements.


The Role

  • Check, validate, and process completed compliance documentation in line with contract and statutory requirements.
  • Upload, manage, and maintain compliance records within Aurora CAFM and the CAP (Compliance Assurance Portal).
  • Monitor compliance status, chasing outstanding documentation and escalating gaps or risks to the appropriate manager.
  • Support the administration of PPM and statutory compliance workflows, ensuring documentation is correctly linked to assets and work orders.
  • Liaise daily with engineers and supervisors to ensure accurate submission of reports, certificates, and supporting evidence.
  • Generate compliance reports and dashboards for site management and central teams as required.
  • Maintain accurate records, audit trails, and document control in line with Dalkia quality procedures.
  • Deal with incoming compliance-related enquiries in a professional and efficient manner, directing issues where necessary.
  • Support day-to-day site administration duties, including document control, filing, data entry, and correspondence.
  • Assist with preparation of client-facing compliance reports and responses to audit actions.
  • Ensure all compliance documentation is correctly stored, version-controlled, and readily retrievable for audits or inspections.
  • Carry out any other reasonable administrative or compliance-related duties as required to support the contract.


Hours of Work

  • Monday to Friday, 8am – 5pm 40 hours per week

Qualifications and Experience Required

Essential

  • Proven experience in an administrative, compliance, or contract support role, ideally within Facilities Management, engineering, or a regulated environment
  • Strong attention to detail with the ability to accurately check, validate, and process compliance documentation
  • Experience working with computerised systems and maintaining accurate records and audit trails
  • Confident user of Microsoft Office (Excel, Word, Outlook), particularly for data entry, tracking, and reporting
  • Ability to manage competing priorities, meet deadlines, and work methodically in a fast-paced environment
  • Strong communication skills, able to liaise effectively with engineers, supervisors, managers, and central teams
  • Ability to work independently while also supporting a wider operational team
  • Clear understanding of the importance of process adherence, governance, and compliance
  • Willingness to be site-based at Selfridges Oxford Street and support multiple stores and an office environment


Desirable

  • Previous experience working within Facilities Management, building services, or engineering contracts
  • Experience using Aurora CAFM or similar CAFM systems
  • Experience using compliance management or assurance portals (e.g. CAP or equivalent systems)
  • Basic understanding of statutory compliance (e.g. PPMs, certification, asset records)
  • Experience supporting audits, inspections, or compliance reviews
  • Knowledge of document control principles and quality management systems (e.g. ISO 9001 environment)
  • Experience producing management or client-facing reports
  • Familiarity with working in a high-profile, live operational environment such as retail or public-facing sites
