Construction Administrator/PA - Yorkshire


We are looking for a highly organised, switched-on Construction Administrator/PA to become the backbone of our busy Construction Department. The role

Construction Administration

  • Collate and distribute weekly build progress reports, EUs, and build programmes to senior management and staff
  • Process site and agency timesheets, track holidays, and arrange agency staff for sites
  • Manage monthly mileage and expense claims for senior construction staff
  • Track and log handover paperwork and CML documentation
  • Issue 14-day call reminders to Contract Managers
  • Liaise with external suppliers to order quality control materials and site equipment
  • Provide general administrative support to office and site teams, including basic IT assistance
  • Organise quarterly Site Manager meetings (agenda, presentations, minutes, and follow-ups)
  • Act as the first point of contact for the Construction Department, handling queries efficiently

PA Support

  • Provide full administrative support to the Construction Director, including correspondence, reports, and presentations
  • Manage diary, emails, and calls for the Construction Director
  • Liaise with recruitment agencies regarding site cover, rates, and timesheets
  • Process accounts paperwork including invoices, receipts, and confidential documents
  • Prepare MI reports for senior leadership and board meetings
  • Track outstanding surveys and report updates

IT & Equipment Coordination

  • Arrange IT access and PPE for new site staff
  • Coordinate setup of laptops, mobile phones, and other equipment
  • Manage company vehicle allocation, returns, and maintenance arrangements

Systems (COINS)

  • Maintain and update system records for Site Managers and Contracts Managers
  • Update plot progress, amend build schedules, and release plots into build
  • Run and distribute weekly build programmes
  • Adjust programme layouts and timelines as required
  • Input construction timelines, holiday breaks, and build stages

Health & Safety

  • Coordinate site inductions and training for staff
  • Submit accident reports and weekly documentation to SHE and H&S teams
  • Arrange health checks and compliance requirements for site personnel


About you

Previous experience in an administrative or PA role (construction experience essential)

Highly organised with strong attention to detail

Confident communicator with the ability to liaise at all levels

Able to manage multiple priorities in a fast paced environment

Strong IT skills (Microsoft Office, COINS experience)

Proactive, reliable, and able to work independently
