Job Title: Conveyancing Assistant

Location: Northampton


The Role

This position will support the Conveyancing Team in delivering a comprehensive and compliant conveyancing service within a mortgage recoveries environment. The role requires a strong client and customer service focus, alongside the ability to manage tasks efficiently and accurately.


Key Responsibilities

  • Assist the team in reducing the time a property remains in possession and under offer.
  • Liaise with third parties to expedite documentation required to facilitate repossession sales.
  • Ensure Service Level Agreements (SLAs) are met for all allocated tasks.
  • Comply with all regulatory requirements, including anti-money laundering and data protection obligations.
  • Manage and prioritise scheduled tasks using internal systems and processes effectively.
  • Issue standard conveyancing documentation accurately and promptly.
  • Maintain an organised workload, minimising administrative and accounting errors.
  • Develop and maintain knowledge of the repossession sales process and related internal departments.
  • Identify issues proactively and escalate where appropriate.
  • Handle difficult or sensitive telephone conversations confidently and professionally.
  • Maintain a professional approach when dealing with colleagues, clients and third parties.
  • Adhere to firm policies relating to complaints handling, treating customers fairly and undertakings.
  • Attend internal and external meetings and contribute to departmental process improvements.
  • Participate in internal training sessions as required.


Desirable:

  • Experience within a conveyancing or property law environment.
  • Familiarity with repossession sales processes.
  • Experience using case management systems (e.g. Visualfiles or similar).


Essential:

  • GCSEs (or equivalent) in English and Maths.
  • High attention to detail and accuracy in documentation and correspondence.
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
  • Confident communicator with good written, numeracy and verbal skills.
  • IT literate, including Microsoft Word, Excel and internet-based systems.
  • Commercial awareness and ability to understand financial implications.
  • Self-motivated, proactive and able to work independently as well as part of a team.
  • Flexible and adaptable, with the ability to work under pressure and recognise when to escalate issues.
