Job Title: Customer Service & Operations Administrator

Location: 8 Fairway Drive, Greenford, UB6 8PW - based on site

Reports to: Supply Chain Manager

Working Hours: This is a part-time role working 20 hours across 5 days a week, 8:00am to 1:00pm. Saturday, Sunday and Monday are essential working days, with three additional days to be agreed.

Salary: Pro rata’d equivalent of £16,000 per year

About the Role

As our Customer Service & Operations Administrator, you’ll be the friendly, organised engine behind seamless customer experiences and smooth operational flow. You’ll help our customers feel supported and informed while ensuring that orders, stock, and warehouse processes run like clockwork. This role blends customer interaction with hands-on coordination across sales, logistics and administration and is based at our Greenford production kitchen and warehouse.

What You’ll Be Doing

Supporting Our Customers

  • Responding to customer queries by phone and email with clarity, care, and warmth.
  • Providing updates on orders, products, and deliveries.
  • Proactively reaching out when there’s an issue and offering solutions that maintain customer trust.

Keeping Orders Moving

  • Processing webshop and email orders accurately and efficiently on our inventory management system, Unleashed.
  • Coordinating closely with the warehouse team to ensure smooth fulfilment and dispatch.
  • Keeping internal systems updated so information flows effortlessly.

Supporting Stock Management

  • Helping monitor stock levels through inventory management systems and flagging items that need replenishment.
  • Updating product and availability information to keep our systems in sync.
  • Assisting with goods-in paperwork, assembly documentation, and warehouse-related admin.
