Programme Documentation Manager

This is more than a documentation role — it’s a mission-critical position at the heart of one of the UK’s most ambitious defence training programmes. You’ll play a pivotal role in enabling high-quality governance, assurance, and decision-making that directly supports the readiness and effectiveness of the British Army.
The Role
As Programme Documentation Manager, you will be responsible for the governance, control, assurance, and continuous improvement of programme and service documentation across a complex, high‑tempo strategic training partnership. Your work will ensure that documentation is accurate, compliant, accessible, and aligned to contractual and programme management requirements.
Working within a matrix PMO environment, you’ll support senior governance forums, enable audit readiness, and ensure programme knowledge is protected and traceable throughout the lifecycle.
Key Responsibilities
Documentation Governance & Control
- Own and maintain the programme document hierarchy in line with contractual schedules and the Integrated Programme Management Plan (IPMP)
- Manage version control, approvals, publication, and archival of all programme documentation
Governance Support
- Coordinate and assure high-quality documentation for senior governance forums, including:
- Strategic Leadership Boards
- Executive Boards
- Business Management and Performance Boards
- Ensure timely delivery of agendas, board packs, minutes, and artefacts in line with governance standards
Programme & Change Documentation
- Support the documentation lifecycle for planned and unplanned change
- Maintain repositories for change documentation, impact assessments, business cases, and approvals
Quality, Assurance & Compliance
- Ensure documentation supports auditability and compliance with ISO 9001, ISO 44001, and programme QMS standards
- Support internal, authority, and third-party audits
Systems & Collaboration
- Act as documentation system custodian and super-user across:
- M365 (SharePoint, Teams, OneDrive)
- Risk and assurance tools
- Integrated schedules and reporting platforms
- Ensure documentation aligns with authoritative programme data sources

- High-quality governance packs, reports, and minutes
- Controlled and traceable programme artefacts, baselines, and change logs
- Trusted documentation that supports confident decision-making at senior levels
About You
Essential
- Proven experience managing documentation in a structured programme or PMO environment (defence experience desirable)
- Strong understanding of governance, assurance, and audit processes
- Advanced capability with M365 tools, particularly SharePoint and version control
- Excellent written communication and information-structuring skills
- Highly organised with exceptional attention to detail
- Confident engaging senior stakeholders in a fast-paced environment
- Proactive, self-driven, and values-led
Desirable
- Experience supporting large-scale defence or transformation programmes
- Knowledge of ISO 44001 and ISO 9001
- Experience supporting senior governance boards
- Existing or previous MOD security clearance (or eligibility)
