Role overview

We are a small, growing technology consultancy working on large, complex transformation programmes. We are looking for a trusted Executive Assistant to work closely with the founder and support the smooth running of the business day to day.


This is a broad, hands-on role suited to someone who enjoys working directly with a founder, bringing structure to a fast-moving environment, and helping a business scale. The role combines executive support, operations, finance administration, project support, and general business administration.


This is not a corporate EA role. It suits someone comfortable with ambiguity, variety, and responsibility, who wants to grow with the business.


Key Responsibilities


Founder Support

  • End-to-end diary, meeting and inbox management, including prioritisation, reminders, follow-ups, and reducing interruptions to protect deep focus time.
  • Booking and coordinating business and personal travel, researching trips, and handling personal logistics that free up founder time.
  • Acting as trusted day-to-day support to help the founder stay focused on high-value work.


Sales and Marketing Support

  • Booking podcast recordings, liaising with podcast guests, and coordinating speaking engagements.
  • Supporting LinkedIn posting, outreach coordination, and follow-ups.
  • Managing tender and SOW templates, coordinating teams to draft responses, and obtaining senior and client sign-off for submission.


Operations and Process

  • Understanding organisational standards and supporting the team to work consistently to them.
  • Creating, maintaining and improving processes, checklists, templates, and ways of working.
  • Keeping shared files, documentation, and knowledge organised and accessible.


Project and Delivery Support

  • Scheduling project meetings, taking notes where required, tracking actions, and following up tasks.
  • Ensuring project documentation is tidy, current, and accessible.
  • Reducing single-point-of-failure risks by documenting roles, processes and handovers, and providing admin support to delivery teams and clients.


Onboarding and Offboarding

  • Running onboarding for contractors and joiners, including coordinating IT setup, access, and issuing contracts and documentation.
  • Maintaining onboarding and offboarding checklists, records, and documentation.
  • Managing leavers cleanly, ensuring access is removed and documentation is completed.


People and HR Administration

  • Setting up contracts, NDAs and related paperwork, and maintaining basic people and contractor records.
  • Chasing compliance items and liaising with recruiters to support hiring.
  • Acting as first-line interview support for new contractors and staff.


General Business Administration

  • Booking and organising business events, team socials, and team-building activities.
  • Managing subscriptions and renewals and handling ad-hoc administrative tasks.
  • Coordinating data compliance and security administration.
  • Researching, identifying, and vetting new suppliers and service providers to support business needs.
  • Coordinating with internal teams to gather and refresh website content, and either updating the website directly using Wix or working with external web designers to ensure changes are implemented.


Finance Administration

  • Preparing and raising invoices, chasing payments, processing receipts and supplier invoices, and entering data into the accounting system.
  • Chasing and validating timesheets and preparing finance packs and summaries for review.
  • Liaising with the accountant and managing or supporting the migration to Xero.

What we’re looking for

  • Experience in an Executive Assistant, Personal Assistant, Office Manager, or similar role.
  • Comfortable working directly with a founder in a small, growing business.
  • Highly organised, proactive, and able to manage multiple priorities.
  • Calm, reliable, and discreet, with good judgement.
  • Confident chasing actions and closing loops.
  • Happy working without rigid structures and helping build them over time.


Working style

This is a full-time role with flexibility around working hours and days. What matters is ownership, responsiveness, and outcomes, not clock-watching. Responsibilities will grow over time as the business scales.


Salary and progression

  • Salary circa £30,000 per annum, depending on experience.
  • Clear scope for progression and salary review as the role and business grow.
