About the Role
Our client, a dynamic organisation within the tourism industry, is seeking an exceptional Executive Assistant who is fluent in Nepali to provide high-level administrative support to senior executives. This is a pivotal role requiring someone who can seamlessly manage complex travel arrangements, coordinate demanding schedules, and act as a trusted right-hand to leadership.
Key Responsibilities
Diary & Schedule Management
- Proactively manage and maintain executive calendars with precision and foresight
- Coordinate meetings, appointments, and conferences across multiple time zones
- Anticipate scheduling conflicts and resolve them efficiently
- Ensure executives are properly briefed and prepared for all commitments
Travel Coordination
- Design and execute complex international and domestic travel itineraries
- Manage all aspects of travel including flights, accommodation, ground transportation, and visa requirements
- Liaise with tourism partners, hotels, and service providers globally
- Handle last-minute travel changes with composure and efficiency
- Prepare comprehensive travel packs with all necessary documentation
Communication & Liaison
- Act as primary point of contact between executives and stakeholders
- Screen and prioritise correspondence, calls, and communications
- Draft and proofread correspondence, reports, and presentations
- Facilitate communication with Nepali-speaking clients, partners, and team members
- Provide translation services when required
Administrative Excellence
- Prepare meeting agendas, take minutes, and follow up on action items
- Maintain confidential filing systems and documentation
- Process expenses, invoices, and financial paperwork
- Coordinate events, conferences, and client hospitality
- Handle ad-hoc projects and special assignments with initiative
Essential Requirements:
- Fluency in Nepali and English (written and spoken) is absolutely essential
- Minimum 5 years' experience as an Executive Assistant, PA, or Senior Secretary
- Extensive experience in travel planning including complex international itineraries
- Expert-level diary management skills with ability to prioritise competing demands
- Exceptional organisational abilities with meticulous attention to detail
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Outstanding written and verbal communication skills
- Discretion and ability to handle sensitive information with confidentiality
- Proactive, resourceful problem-solver who anticipates needs
- Professional demeanor with excellent interpersonal skills
Highly Desirable
- Previous experience within the tourism, travel, or hospitality sector
- Knowledge of visa requirements and international travel regulations
- Experience using travel booking platforms and systems
- Understanding of cultural nuances in business communications
- Familiarity with CRM systems and project management tools
- Ability to work flexible hours when required for international coordination
