Are you an organised, proactive Executive Assistant who enjoys working at the heart of a small, mission-driven organisation? This is an exciting opportunity to support senior leaders and play a key role in governance, committee coordination and day-to-day operations within a respected membership charity in the healthcare sector.

Working closely with the Chief Executive, Deputy Chief Executive and President, you’ll provide high-quality administrative and organisational support, while also contributing to the smooth running of board and committee activity. This is a varied role, ideal for someone who enjoys responsibility, attention to detail and building trusted working relationships.

About the role

You’ll be a central point of contact for senior leadership, trustees, committees and colleagues, helping ensure meetings, governance processes and internal operations run efficiently. The role combines classic Executive Assistant duties with governance, coordination and organisational support.

This is a hybrid position, with one day per week in the London office (two days during the probation period) and the remainder working from home.

Key responsibilities

Executive support

* Manage diaries for the Chief Executive and President

* Monitor and manage the President’s inbox

* Arrange travel and accommodation, including trains, taxis and hotels

Committees, trustees and governance

* Coordinate and administer board, committee and other formal meetings

* Schedule meetings, book venues, prepare and circulate agendas and papers

* Draft accurate minutes from meeting recordings

* Support recruitment, induction and record-keeping for trustees, committees and working groups

* Assist with trustee nominations and elections

* Maintain the Register of Interests

* Ensure statutory records are kept up to date with Companies House and the Charity Commission

IT and document management

* Maintain organised and accessible folders on SharePoint

* Archive documents appropriately at year end

Staff meetings and events

* Schedule staff meetings and manage calendar invitations

* Arrange catering for meetings and staff lunches when required

* Organise venues and bookings for staff events, including social gatherings

* Book meeting rooms as needed

About you

You’ll be highly organised, discreet and confident working with senior stakeholders. You’ll enjoy juggling priorities, have excellent written communication skills (particularly for minute-taking), and be comfortable working independently while supporting a collaborative team.

Experience in an Executive Assistant, governance or charity/association environment would be particularly valuable, but above all we’re looking for someone reliable, professional and proactive.
