Job Purpose:

This dynamic position involves working closely with both our Chairman - based remotely in Dubai and frequently travelling internationally - and our CEO, who is primarily in the office daily (Monday to Friday) but also travels extensively. You'll act as the key point of coordination between them and both internal teams and external partners, ensuring their time is managed effectively, priorities are met, and operations run seamlessly.

Objectives of the Role:

• Provide high-level executive support to the Chairman and CEO, and occasionally to other senior leaders, ensuring operations run smoothly and strategic goals are supported.
• Refine and manage internal processes to enhance team efficiency and streamline workflows across departments and external partners.
• Serve as a key liaison between executives and stakeholders, ensuring clear communication and follow-through on projects and priorities.
• Plan and orchestrate work to ensure that Chairman/CEOs priorities are met, organisational goals are achieved, and best professional practices are upheld.

Key Responsibilities

• Maintain strict confidentiality and professionalism in all matters.
• Manage complex calendars, appointments, and communications for the Chairman and CEO.
• Co-ordinate complex scheduling and calendar management, as well as content and flow of information to Teammates.
• Manage travel logistics and activities, including accommodations, transportation, and meals and associated expense documents etc.
• Provide administrative and office support, such as letters, dictation, note taking, spreadsheet creation, memos, invoices, statements and presentations etc. Maintenance of filing system and contacts database.
• Organise team communications and plan events, both internal and off-site.
• Greet visitors, manage incoming calls, and handle queries on behalf of the Chairman and CEO.
• Responding to queries and requests on the Chairman and CEOs behalf.
• Liaising with Customers, Teammates and others internally and externally as required.
• Management and oversight of Business projects as required by the Chairman and CEO - producing timelines and reviews as needed.

Skills, Knowledge and Experience:

• Proven experience as an Executive Assistant or in a similar senior support role in a corporate environment, working with C-suite executives across multiple time zones and locations.
• Demonstrated success supporting C-suite executives remotely, including managing international travel, shifting priorities, and complex calendars.
• A-C grade GCSE (or equivalent) in English, Maths & Science.
• A degree in a business-related discipline and/or a certificate in a Personal/Executive Assistant qualification would be desirable.
• Excellent knowledge of Microsoft Office package and the ability to use systems to carry out tasks such as expenses/invoice processing.
• High level of discretion, integrity, and professionalism.
• Strong business and commercial acumen.
• Flawless communication and presentation skills, both written and verbal.
• The ability to work under pressure, multitask and prioritise an everchanging workload to reach deadlines
• Problem-solving and decision-making skills.
