As the Executive Assistant to the Global Head of Acceptance Solutions, you will play a critical role in driving seamless coordination and operational effectiveness on a global scale. Supporting an executive who leads diverse international teams and oversees markets across multiple time zones, you will deliver best-in-class administrative support, expertly manage complex cross-border calendars, and proactively anticipate the needs of a globally engaged leader. Your proficiency in navigating international schedules, orchestrating intricate travel logistics, and communicating across cultures and time zones will be essential to enabling the executive’s worldwide impact and ensuring the smooth operation of their global responsibilities.
Key Responsibilities:
1. International Diary & Time Zone Management
- Establish and maintain a sustainable daily, weekly, and monthly rhythm for an executive whose teams and stakeholders span multiple countries and time zones.
- Proactively anticipate and resolve diary conflicts, factoring in time differences to optimize participation from global teams.
- Schedule and reschedule meetings with attention to international calendars, public holidays, and business hours across regions.
- Liaise with meeting organizers to ensure all materials and pre-reading are available in advance, and schedule preparatory sessions as needed.
2. Global Administration & Stakeholder Coordination
- Serve as the executive’s primary liaison for both internal and external stakeholders across continents, ensuring communication is timely and culturally sensitive.
- Coordinate meetings, events, and business activities with participants in multiple geographies, using Microsoft Teams and other collaboration tools to bridge time zone gaps.
- Oversee office management tasks, including facility issues, divisional office logistics, and IT or resource support for remote and in-office global teams.
- Drive the planning and execution of functional townhall meetings and virtual events, accommodating diverse time zones and ensuring maximum engagement.
3. Cross-Border Communication & Email Management
- Prioritize, filter, and escalate emails and requests, ensuring urgent matters are addressed promptly, regardless of the sender’s location.
- Manage complex email distribution lists and facilitate effective communication with international teams.
4. Complex International Travel & Expenses
- Arrange and manage complex travel itineraries for the executive, covering up to 38 markets and ensuring seamless transitions across different time zones and countries.
- Monitor and approve expense reports, ensuring compliance with international policies and currency considerations.
5. Team Support & Culture
- Facilitate a smooth onboarding process for new team members across global locations, ensuring they are integrated and equipped with the necessary resources.
- Actively nurture a strong, cohesive team culture for a geographically dispersed workforce by organizing virtual and in-person team-building activities.
6. Office and Facilities Liaison
- Partner with Facilities to manage space planning and desk assignments, keeping in mind the needs of a hybrid, global workforce in the London Paddington Office.
This is a hybrid position. Expectation of days in the office will be confirmed by your Hiring Manager.
Demonstrated ability to build credible, long-term working relationships with colleagues and stakeholders worldwide.
Exceptional time management and organizational skills, with proven experience navigating multiple time zones.
Proactive, resourceful, and solutions-oriented approach to problem-solving in a fast-paced, international environment.
Advanced proficiency in Microsoft PowerPoint, Excel, Word, Outlook, and virtual collaboration platforms.
Strong written, interpersonal, and presentation skills, with cultural sensitivity and global business acumen.
Highly self-motivated, detail-oriented, and able to work independently and across cultures.
Prior experience supporting executives managing international teams is highly desirable.
