Job Description

Role Purpose


The Executive & Operations Assistant will provide high-level administrative and operational support to the Board, CEO and wider organisation. This role combines executive assistance with hands-on operational coordination, ensuring the smooth and efficient running of both leadership activities and day-to-day business functions.


Key Responsibilities


Executive Support


  • Manage the CEO calendar and ad hoc requests from the wider SLT, scheduling meetings, appointments, and events
  • Draft emails, reports and comms on behalf of the CEO, and as required the wider SLT
  • Prepare agendas, papers, and presentations for meetings (internal and external)
  • Take accurate minutes and track follow-up actions (Board/staff)
  • Handle confidential correspondence and sensitive information with discretion


Operations & Business Support


  • Support the day-to-day running of the organisation’s operations
  • Coordinate internal processes and ensure tasks and projects progress on schedule
  • Assist with implementation and improvement of operational systems and workflows
  • Monitor key deadlines, priorities, and deliverables across the organisation


Commercial team support 


  • Provide administrative support to the commercial teams – including partnerships, programmes and workplace. To include CRM management, email management and supporting event administration. 


Administrative & Systems Support


  • Maintain CRM systems, databases, Sharepoint and internal documentation
  • Support the planning and delivery of staff and Board events
  • Support reporting processes and data management
  • Assist with HR administration where required
  • Support wider ABM teams, including membership, as required



Person Specification


Essential Skills & Experience


  • Proven experience as an Executive Assistant, Operations Assistant, or similar role
  • Strong organisational and project coordination skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple priorities and work independently
  • Familiarity with CRM systems and operational tools
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office and AI workplace tools 


Desirable


  • Experience in a membership organisation, professional body, or SME environment
  • Interest in business mentoring, leadership, or professional development

Benefits


  • Home based - with travel to London on average once a month
  • £38,000 salary
  • 25 days holiday, plus bank holidays and Christmas week office closure.
