You'll collaborate with the Groups Meetings & Events Sales Manager and other team members to achieve sales targets and contribute to the overall success of the department. Effective communication, strong organisational skills, and a customer‑centric approach are key for success in this role.Key ResponsibilitiesAssist the Groups, Meetings and Events Sales Manager to convert customer enquiries into confirmed sales, completing proposals, following up in a timely manner, conducting show rounds when appropriate and developing future and repeat business to contribute to the profitability of the hotels.Ensure all SOPs are adhered to for the department and implement new strategies and procedures as appropriate.Work as a member of the team, contributing to maximising revenue and generating business.Handle all customer enquiries with a professional telephone manner, demonstrating high standards of customer service and responding within 24 hours.Handle all administrative tasks efficiently and timely.Pro‑actively identify customer needs and provide solutions to match and exceed them.Build strong working relationships with clients and develop an understanding of their specific needs and requirements.Convert enquiries into confirmed bookings, demonstrating confidence through call control and upselling.Manage diaries to maximise yield and revenue per available meeting room and bedroom while evaluating conversion statistics and lead times.Respond positively to sales opportunities, identifying new accounts and contacts to develop sales leads within the hotels.Develop productive working relationships and on‑going communication with all departments to increase business development and maximise utilization of hotel space.Create accurate written quotations and contracts for clients in line with departmental standards.Maintain accurate and up‑to‑date customer records in Opera S&C and sales databases, following best practices and contributing to system development.Develop and maintain excellent product knowledge and use it to deliver benefits to the client.Keep up to date with competitor services, installations, and renovations, and communicate ongoing promotions for Groups and Events.Review payments pre‑, during and post‑event with the client, ensuring backup is accurate daily and standards are followed.Be available to conduct meet‑and‑greet with clients and provide constructive handovers between the client and the Operations Team, both inside and outside office hours.Oversee the production of bookings Function Sheets weekly with the Groups, Meetings and Events Manager and distribute to all relevant staff.Attend the BEO meeting, forecast meetings and pipeline meetings weekly.Oversee and supervise operations and logistics of Groups, Meetings and Events, communicating with heads of departments accordingly.Work and cooperate with others, participating in departmental meetings, team briefings, and projects, supporting team members and ensuring collective goal achievement.Assist in additional projects and departmental tasks as required.This job description sets out the main responsibilities related to the role at Montcalm Collection.
