Salary: £13.52 per hour with pay award pending

Crossbasket House provides accommodation and support for families with seriously ill children receiving care in the Royal Hospital for Children Glasgow and other hospitals in the west of Scotland. Families stay free of charge in the 30 bedroomed House and there is no time limit on the accommodation once a family is given a room it is theirs until their child is discharged from hospital. For families with a sick child, the House is a haven at a stressful time when their childs stay in hospital requires them to be close by while they are away from home.
JOB PURPOSE:
To be a point of contact in the House, providing a friendly, professional and efficient service to families, visitors and all stakeholders. To be a competent person to be the sole member of staff on occasions during your shift. Provide general administration, housekeeping and support to the House.
PRIMARY RESPONSIBILITIES
Respond confidently and appropriately to emergency situations within the House.
When working as the sole member of the team on shift, take full responsibility for managing emergency situations.
To conduct a handover with overnight Security staff on arrival/conduct handover to House staff at end of shift
Daily opening/closing of receptions and procedures
Assist with the day-to-day running of the House
To assist On-Call duties when required
To liaise with hospital staff regarding referrals to the House
To undertake check-in and check-out procedures with families
To deliver fire safety drill and Health and Safety information induction to families
To carry out housekeeping tasks when required
Provide efficient administrative support to the House
To welcome and support volunteers in their work

Specific Duties
House Operations & Front-of-House :
Follow all opening and closing procedures
Conduct handovers with overnight Security staff and incoming House staff
Act as a primary point of contact for families, visitors and volunteers.
Assist with the overall day-to-day operation of the House
Respond confidently and appropriately to emergency situations
Take responsibility for routine House operations during shifts, including lone working
Family Accommodation & Support :
Check-In
Liaise with hospital staff regarding referrals and allocation of accommodation
Prepare check-in documentation and ensure rooms are ready for arrival
Welcome families warmly and empathetically
Complete registration procedures and database updates
Show families to their rooms and provide Health & Safety and Fire Safety inductions
Issue keys and support families in settling into the House
Check-Out
Coordinate family departures and room inspections
Ensure rooms are left in satisfactory condition
Raise any concerns with families sensitively and appropriately
Ensure keys, equipment, and documentation are returned
Process room deposits and donations where applicable
Complete all required paperwork and database updates
Facilitate timely room turnaround in collaboration with housekeeping
Ongoing Family Support :
Build positive, professional, and appropriate relationships with resident families
Respond to enquiries and provide practical support
Ensure House rules and protocols are adhered to
Confidently assess and take appropriate action if rules are breached
Housekeeping & Laundry :
Support, instruct, and work alongside housekeeping staff and volunteers
Undertake housekeeping duties as required, including cleaning, laundry, and ironing
Ensure bedrooms and shared areas meet required standards
Health & Safety :
Carry out all duties in line with Health & Safety policies and procedures
Actively contribute to maintaining a safe, secure, and well-functioning building
Deliver fire safety drills and inductions to families
Report and escalate maintenance or safety concerns appropriately
Administration & Finance :
Maintain accurate and up-to-date family records on the database
Manage referral logs and administrative documentation
Handle cash and card payments related to room deposits, donations, and merchandise sales
Ensure all financial processes and record-keeping are completed accurately
Maintain confidentiality and comply with GDPR and data protection requirements
Volunteers :
Welcome, support, and delegate tasks to volunteers
Foster positive and respectful working relationships
Ensure volunteers feel valued and supported in their roles
Fundraising & Supporter Engagement :
Direct fundraising enquiries to the fundraising team when appropriate
Gather information for fundraising staff when they are unavailable
Maintain awareness of current fundraising activities and events
Promote merchandise sales and House show rounds
Receive, record, and process donations in line with procedures
Additional Information
The post holder will have access to confidential and sensitive information and must exercise discretion at all times
The role may involve contact with families, supporters, or former residents affected by bereavement; the post holder must respond with empathy while maintaining appropriate boundaries and self-care
The post holder will act at all times as an ambassador for the charity, conducting themselves in a manner that upholds public trust and confidence
Flexibility is required to meet the operational needs of the House
Essential Criteria :
Proficient in using Windows based packages including Microsoft Office -
Word, Excel, Outlook, email and the internet.
Experience of working to timescales and deadlines.
Educated to SVQ Level 3 / HNC or equivalent skills through on-going
Professional / personal development.
Excellent English language verbal and written skills.
Excellent numeracy skills.
Ability to fit-in and work effectively as part of a small House team and contribute to
team goals.
Professional in attitude, behaviour and practice.
Ability to respect confidentiality.

Desirable Criteria :
Experience of working within the Third Sector.
Experience of working within the Hospitality Industry, particularly housekeeping and front-of-house duties.
Knowledge of working with databases.
Understanding of the Crossbasket House.
Experience in the provision of shared accommodation & facilities.
Have well developed personal coping skills challenging families, grief, loss.
