Job Description

We’re looking for a detail-driven HR Systems Coordinator to help shape and streamline our HR processes through smart automation, clear reporting, and engaging training content. This role is ideal for someone who enjoys improving systems, working with data, and enabling leaders to confidently manage their teams.


You’ll design, maintain and continuously improve automated HR processes, templates and workflows across our HR system and Business Management System (BMS). You’ll also support the employee lifecycle with accurate data, insightful KPIs, and practical, easy-to-use training resources including AI-supported content.

Position: HR Systems Coordinator (one-year Fixed Term Contract)

Location: Dewsbury, fully on-site

Hours: Monday - Thursday 08:30 - 17:00, Friday 08:30 - 16:00

Salary: £25,000 - £30,000

Key Responsibilities


HR Systems & Process Automation


  • Configure and optimise workflows, forms and automation within HR systems
  • Support alignment between PeopleHR and the Business Management System (BMS)
  • Design automated processes across the employee lifecycle (probation, performance, absence, compliance)
  • Support automation of contracts, offer letters and templates
  • Identify opportunities to reduce manual administration using automation and AI


Employee Lifecycle & Reporting


  • Maintain accurate employee data in line with GDPR requirements
  • Produce and maintain KPI dashboards (headcount, turnover, absence, training, performance)
  • Analyse HR data to identify trends and improvement opportunities
  • Support lifecycle milestones through automation and reporting


Training, AI & Leader Enablement


  • Develop AI-supported training resources for managers
  • Create short videos, how-to guides and micro-learning content
  • Maintain an accessible library of HR training materials
  • Support a self-service approach to people management


Policy, Compliance & Governance


  • Maintain automated compliance trackers (Right to Work, training, probation, reviews)
  • Support development and version control of HR policies and procedures
  • Monitor compliance alerts and follow up actions
  • Support HR audits through accurate records and system governance


Onboarding & Workforce Administration


  • Support automated onboarding workflows
  • Ensure notifications, task automation and handoffs operate effectively
  • Provide administrative support for employee changes where required


Preferred Skills & Qualifications


Essential


  • Experience in an HR administration, coordination or HR systems role
  • Strong working knowledge of HR systems (e.g. PeopleHR/Access)
  • High attention to detail and data accuracy
  • Strong organisational skills and ability to manage multiple workflows


Desirable


  • CIPD Level 3 (or working towards)
  • Experience with HR reporting or KPI dashboards
  • Experience creating training materials or videos
  • Interest in automation, AI tools and continuous improvement
