This is a Part time position working 20 hours per week, over 4 days - Monday to Friday.

Salary is £26,000 (Full time equivalent) prorated to £14,246

Job Description

Onboarding and New Starters

  • Manage the new starter process from recruitment to onboarding
  • This includes (but is not limited to), placing adverts on LinkedIn, arranging interviews, processing candidates in the HRIS (HiBOB), issuing offer letters and contracts, conducting right to work & Visa checks, collecting references, adding colleagues to HRIS/Payroll, work from home assessments and arranging inductions.
  • Enrol new joiners on to relevant benefit schemes, such as Healthcare Cash Plan and PMI where required, liaising with internal teams and external providers
  • Ensure new starters are equipped with IT / liaise with systems support manager
  • Set up day 1 welcome email with links to all new starter information – webinars policies etc and carry out Agency induction.
  • Train new starters on how to use the HRIS system as a Team member or manager e.g. how to log appraisals & managing staff holidays etc.


HR Systems & Data (HiBOB / HRIS / Payroll)

  • Support with the system application of the Agency objectives, PDPs and 360 process via HiBOB
  • Maintain accurate and up-to-date employee records and HR databases, ensuring compliance with regulations
  • Capturing employees changes / feeding into the payroll reporting process
  • Setting up the system administration for the annual Employee Engagement survey.


General HR Administration

  • Draft letters as required, including promotion, probation, reference, visa and other contractual change letters.
  • Assist with probation, performance and training administration
  • Support employee relations processes by arranging meetings and keeping notes where needed
  • Ensure team leaders carry out return to work interviews and record.


Learning, Development & Training

  • Management of LinkedIn Learning Licences across the agency
  • Booking all training with suppliers and arranging dates internally
  • Creating powerpoint presentations for Monthly Team updates.


Projects, Engagement & Wellbeing

  • Support the Head of People with tasks related to employee engagement, DEI, and wellbeing, and coordinating in-office events
  • Support with HR projects e.g. Appraisal system role out and BCorp application.



Qualifications, skills and experience

  • What you’ll bring:
  • Good attention to detail
  • Excellent organisational and time management skills
  • Strong IT skills with knowledge of Microsoft Office Suite (Word, PowerPoint, Excel,
  • Outlook) and other commonly used office packages
  • Experience working with a HRIS preferrably HiBOB
  • The ability to prioritise tasks and work under pressure
  • Excellent interpersonal, oral and written communication skills
  • Strong attention to detail and diligent approach
  • A problem-solving approach to work
  • Experience of dealing with end to end HR processes
  • Must be able to drive – as requirement to visit agency locations on occasion
