We are currently working with a highly regarded professional services organisation to recruit a Planning Advocacy Team Administrator to join their Leeds office. This is an excellent opportunity for a highly organised and proactive administrator who enjoys working in a collaborative team environment and takes pride in delivering efficient, high-quality support.

Due to the nature of the work — including document preparation and production — this position is fully office-based and plays a key role in supporting the day-to-day operations of a busy specialist team.

The Role

Our client is seeking someone who can provide efficient administrative support while building positive working relationships with colleagues and clients. You will play a central role in ensuring the smooth running of the team by coordinating documentation, managing billing processes, and supporting lawyers with a variety of administrative tasks.

Key Responsibilities

Support the day-to-day running of the Planning Advocacy team, ensuring workflows operate smoothly and efficiently

Manage the collation and production of inquiry documentation, including core documents

Coordinate the preparation and organisation of client materials requiring team review

Maintain efficient billing processes, including tracking purchase orders, monitoring bills, and coordinating monthly billing updates

Produce and format documentation proactively and accurately to support the team’s work

Communicate professionally with clients via telephone, email, and in person when required

Maintain organised electronic filing systems, including emails and digital records

Provide administrative support to lawyers, including file opening, closing and archiving, appointment coordination, and billing administration

Undertake additional administrative duties as required to support the team

About You

Highly organised, proactive and able to manage competing priorities effectively

Strong communication skills with a professional and approachable manner

A collaborative team player with a flexible approach to work

Proven experience delivering high-quality administrative support within a professional environment

Confident IT user, including case management systems and Microsoft Office packages

Able to demonstrate professionalism, reliability, and strong attention to detail
