Job Description

Owen Reed is looking for an Executive Assistant for a top international law firm in London.

Owen Reed is recruiting an exceptional Executive Assistant to provide high-level, confidential support to the Global Senior Partner of a leading international law firm. This is a pivotal role within the firm’s Secretariat team, supporting governance, partnership processes and senior leadership across multiple jurisdictions.

This position suits an experienced EA who is comfortable operating at the highest level, acting as a trusted gatekeeper and coordinating complex stakeholder activity with absolute discretion.

Key Responsibilities

Executive & Strategic Support

  • Provide proactive, high-level EA support to the Global Senior Partner
  • Manage complex diaries across multiple time zones
  • Arrange international travel, including visas and itineraries
  • Draft correspondence, messages and documents on behalf of senior leadership
  • Maintain action lists, reminders and robust electronic filing systems

Governance, Boards & Committees

  • Co-ordinate Equity Partner and Fixed Share Partner meetings
  • Prepare agendas, meeting packs and voting documentation
  • Attend meetings, take minutes and circulate post-meeting actions
  • Manage voting processes and accurately record outcomes
  • Support Supervisory Board and Conflicts Committee meetings

Partner Appraisals & Remuneration

  • Co-ordinate Equity Partner appraisals globally
  • Liaise with Group Leaders, HR and Finance on appraisal documentation
  • Track feedback, objectives and remuneration schedules
  • Support Equity and Fixed Share Partner Remuneration Group processes
  • Prepare reward communications and manage confidential distributions

Partnership Processes & Elections

  • Support partner elections and partnership voting processes
  • Prepare voting packs, communications and audit trails
  • Draft partnership-wide communications post-decision

Projects, Clients & Business Development

  • Support strategic projects, laterals and growth initiatives
  • Co-ordinate client listening meetings and thought leadership activity
  • Arrange podcasts, leadership meetings and senior BD catch-ups

Events & Partner Engagement

  • Organise partners’ dinners, lunches and conferences
  • Support partners’ conferences, long service awards and formal events
  • Act as firm contact for City of London Law Society matters and ward elections

Team & Secretariat Support

  • Provide cover for other Executive Assistants when required
  • Share best practice and ensure consistent support standards

Skills & Experience Required

  • Significant experience as an Executive Assistant supporting senior partners or C-suite leaders within a law firm
  • Strong governance experience (boards, committees, agendas, minutes, action tracking)
  • Advanced Microsoft 365 skills (Outlook, Teams, SharePoint, Word, Excel, PowerPoint)
  • Experience using document management systems (e.g. iManage)
  • Excellent written communication and drafting ability
  • High level of discretion and professional judgement
  • Confident managing senior stakeholders across multiple jurisdictions and time zones
