Job Title: Personal Assistant – Planning Team

Location: London (Office-Based/Hybrid)

About the Role:

We’re recruiting for a Personal Assistant to join a highly regarded Planning team within a leading UK law firm. This role provides dedicated support to senior leadership, ensuring the smooth running of daily operations and delivering a high standard of service to both internal stakeholders and clients.


The Planning team works on a wide range of complex and high-profile development projects, advising developers, investors, and public-sector bodies. As a key member of the team, you’ll play an integral role in supporting legal advisors with diary management, document production, client coordination, and administrative processes.


This role is ideal for an experienced Legal PA or Secretary who is highly organised, proactive, and comfortable working in a fast-paced, professional environment.


Key Responsibilities:

Diary & Administrative Support

  • Manage complex diaries and email inboxes for senior stakeholders
  • Organise meetings, travel arrangements, and logistics
  • Prepare draft emails, correspondence, reports and file notes
  • Produce and amend complex documents to a high standard


Billing & Financial Administration

  • Support billing processes and financial management for clients
  • Prepare and submit expense claims and cheque requisitions
  • Assist with financial reporting and client-related documentation


Client & Compliance Management

  • Open and close client files in line with firm policies
  • Undertake AML and conflict checks for new client and matter inception
  • Maintain accurate client records and update CRM systems
  • Manage client data rooms, document uploads and access permissions


Document & File Management

  • Prepare documentation and enclosures for signing and distribution
  • Manage filing, e-filing, archiving and deeds management
  • Prepare bundles and liaise with courts where required


Team & Communication Support

  • Act as a point of contact for clients via phone and email
  • Handle routine enquiries and provide administrative support
  • Work collaboratively with the wider team to ensure seamless support


Candidate Profile:

  • Previous experience as a Legal PA or Secretary (ideally within Real Estate, Planning or similar)
  • Strong document production skills, particularly within Microsoft Word
  • Excellent organisational and diary management skills
  • Fast and accurate typing skills (ideally 60 wpm+)
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • High attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Able to work independently and manage competing priorities
  • Flexible, proactive and able to work under pressure
