POSITION OVERVIEW
We are looking to hire an experienced Office Manager on a flexible hourly basis (around 10 hours per week) which can be split during the week, on-site, in our Leeds office. As an Office Manager, you will hold key skills in H&S Management, HR, Finance and General Admin, with the salary being dependant upon experience. A skillset which spans across the below is desirable, with tasks being split between a mix of the following:
H&S MANAGEMENT
- Conduct regular checks for H&S facilities, e.g. fire alarm, emergency lighting, fire extinguishers, fire doors, first aid kit, PAT testing, electricity mains and gas mains service etc.
- Manage and maintain internal H&S documentation, make sure all documents are correct and up to date, comply with H&S law and regulations.
- Liaise with external H&S with new laws and regulations that apply to Brawl. Adding new policies when needed.
- Arrange yearly H&S visit, conduct improvement based on the yearly audit.
- First point of contact for incident/accident reports. Contact H&S consultant when incident/accident happens.
- Conduct trainings and assessment based on H&S needs.
- Review and renew the external consultancy service and contract.
HR MANAGEMENT
- Holiday management, make sure employees’ annual leaves, sick leave and TOIL are correctly recorded. Update annual holiday allowance each year.
- Manage and maintain HR software BreatheHR, make sure employees’ data is correct and up-to-date. Trouble-shooting for all employees’ enquiries. Review and renew HR software service and contract.
- Liaise with external employment law consultant with new laws and regulations that apply to Brawl. Update employment contract, employee handbook, policies when needed.
- Prepare contracts and document for new starters. Draft and issue all H&R letters and memos.
- Arrange probation review, annual reviews and exit interview.
- Conduct trainings and assessments based on laws and regulations and company needs.
- Arrange staff social activities and company events.
- Arrange P45, P60, pension, insurances, software subscriptions when new employee stars and old employee leaves.
IT MANAGEMENT
- Acting as first of contact for any IT issues from the team, authorise IT support provider to conduct the tasks and follow up the tasks until it’s completed.
- Manage invoice and payment for IT services. Review and renew services, subscriptions and contracts.
- Prepare computers, devices, software and subscriptions for new starters and people leaving.
- Manage and maintain company systems, software and subscription.
FINANCE
- Process staff expenses
- Process supplier invoice and payments
- Assist client service team to draft and issue sales invoices
- Manage and update clients’ finance portals to make sure all data is correct and up-to-date.
- Manage suppliers’ contract and service renewal. Ensure cost efficiency and service quality.
- Assist external accountant to manage company assets
GENERAL ADMIN MANAGEMENT
- Manage service and bills for water, electricity, gas, gardening, window cleaning, water purifier, pest control, air conditioner, commercial bins, hygiene bin services, etc.
- Support MD’s with diary management and admin tasks.
- Maintain and organise company equipment and documents.
- Manage office purchases
- Renew insurance policies. Act as first of contact when exercising clauses in the insurance policy.
- Maintain company vehicles, organise servicing and MOT’s when needed.
- Manage company landline contract, TV license, phone lease.
