With 15 partners and 180 employees our client is looking for the 'ultimate plate-spinner' PA/Team Secretary with previous experience from a Financial or Professional Services organisation. This is an excellent opportunity for an experienced PA/Team Secretary who enjoys a truly varied role to support two Senior Partners and the wider Advisory administration team. Established in 1888, they are rich in heritage and tradition with a 'people first' ethos and a truly collaborative approach towards delivering the highest service levels for their clients. Upholding the professionalism that is expected from this firm of trusted Advisors the Team Secretary will act as PA and provide a range of secretarial support services to meet the business requirements.
PA/Team Secretary - The Role
- Diary Management:
- Audiotyping.
- Managing everchanging and complex calendar using Outlook.
- Organising client meetings with multiple participants (often across different time-zones) and internal meetings and conference calls;
- Preparing meeting material.
- Booking meeting rooms.
- Monitoring partner e-mails and forwarding to the relevant manager(s) in a timely manner.
- Complete coordination of travel bookings
- Managing incoming telephone calls, screening and taking messages, liaising with clients, where appropriate.
- Compiling and processing expenses within required deadline.
- Preparing timesheets for partner using CCH software.
- Scanning incoming post for group - Partners and Managers and maintaining the relevant electronic client filing system.
- Preparation of both, standard and custom letters and reports
- Updating CPD (Continuing Professional Development) database
- AML (Anti-Money Laundering) Re-assessments: Sending emails to managers to ensure the database is kept up to date.
- Keeping quarterly log of which bills have been sent to clients and keeping a note of when the bills have been paid.
- Covering for other secretaries during absence & holiday and occasional reception cover.
What you will offer:-
The successful candidate will have previous experience supporting multiple senior individuals in an PA/Secretarial role, ideally within the Financial Services sector.
- Excellent organisational and time management skills to meet deadlines (particularly at year ends and the end of the tax year).
- Audio-typing
- Ability to adapt between different types of work, prioritise effectively and manage multiple tasks.
- Strong IT skills including but not limited to Word and Excel.
- High level of accuracy in preparing documents and other information .
- Ability to communicate clearly and professionally
- Trusted to handle sensitive information with integrity and professionalism.
