EM Law is a modern commercial law firm operating out of the White Collar Factory in Shoreditch, London. Our team of expert solicitors, with experience in national and City law firms, advise clients on legal, risk mitigation, and commercial strategies. We serve a diverse range of clients, from SMEs to large commercial organisations and state-funded entities, both in the UK and internationally. Our firm provides comprehensive legal services across areas such as corporate law, contract law, technology and AI, disputes, commercial property and employment law. Recommended in Chambers and Partners (Band 1) for the work that we do for SMEs, EM Law takes pride in delivering exceptional legal support and solutions.
Most of the lawyers in the firm work remotely. Our director, senior associate and paralegal work full time in the White Collar Factory.
We are looking for a full time PA / EA / Office Manager to support the team in the White Collar Factory, liaise with our external team and be a key player in helping grow the business. You will be highly organised, proactive, with a great capacity for making sure that things get done and with attention to detail.
Key Responsibilities
- Monitor emails to be aware of everything going on with client matters and leads to help keep our office team highly organised and on top of things.
- Upload and track leads on our lead management platform.
- Calendar management.
- Telephone potential leads who have enquired about our services to find out more about the help that they need.
- File opening and drafting client engagement letters using our templates.
- Corresponding with our clients on file opening, scheduling meetings and invoicing.
- Helping with the creation, implementation and enforcement of processes and procedures for our staff to follow to make the firm more efficient.
- Manage the implementation of new systems and platforms that the firm may use.
- Creating and sending out newsletters to our clients and contacts.
- Creating and pushing out content on our social media channels.
- Create and update marketing brochures.
- Analysing our website performance and tracking our marketing efforts to assess how successful these are and to hold our external marketing providers to account (who you will hold monthly meetings with).
- Invoice clients, monitor payments in and out of our office account and pay suppliers.
- Liaise with our in-house accountant to provide copies of supplier invoices, client invoices, expense receipts etc.
- Support business development activities including organising events.
- Liaise with our IT support provider in case of IT issues to help resolve them.
Experience, Skills and Personal Attributes
- At least 3 years’ experience as a PA, EA or Office Manager ideally in a professional services environment.
- Excellent writing and communications skills.
- Outstanding interpersonal and communication skills, both written and oral, with the ability to interact with people at all levels.
- Ability to demonstrate a flexible and hands-on attitude, responding effectively to rapidly changing circumstances.
- Outcome focused rather than process focused.
- Excellent IT skills with the ability to learn new software applications quickly.
- High level of proficiency using Microsoft Office (Outlook, Word, Excel, and PowerPoint) for Macs.
- Proficient or at least willing to rapidly learn and become proficient in Photoshop.
- You are a self-starter who can work independently with minimal supervision.
- Excellent accuracy, attention to detail and follow-through skills with the ability to work well under pressure.
- You take pride in being highly organised and on the ball.
- High level of initiative, diplomacy and tact.
- Responsive, adaptable and able to handle time-sensitive needs outside regular hours.
- Recognise confidential, sensitive, and proprietary information and maintain such information as confidential.
- A client-first approach.
- Driven.
This is a 5-days-in-the-office-per-week, full-time role in a great location doing interesting and varied work with a friendly and supportive team. Your ability to deliver on the skills and attributes we need will play a crucial role in the development of the firm with ambitious plans to grow over the next 5 years.
Salary: £40,000 - £50,000 / year.
