Owen Reed is looking for a Practice Team Assistant for a top law firm in London.

We are seeking an organised, proactive and detail-focused Practice Team Assistant to join a leading London law firm. This is an excellent opportunity for a school or college leaver who is looking to begin their career in the legal or professional services sector. You will work closely with the PA team and fee earners, providing essential administrative and organisational support to ensure the smooth running of the department.

The Role As a Practice Team Assistant, you will support the PA team and fee-earning colleagues with a wide range of administrative and organisational duties. This role requires someone who can manage competing priorities, communicate confidently and deliver high-quality work under pressure. You will be a key team player and a valued point of contact within the practice group.
\n\n\n\n
Key Responsibilities Provide high-quality administrative support to the PA team and lawyers.
\n\n\n\n
Manage changing priorities and ensure deadlines are met or renegotiated when needed.
\n\n\n\n
Handle telephone calls professionally, ensuring excellent service and clear communication.
\n\n\n\n
Print, photocopy and scan documents, including assisting with bundles, working papers and Deeds.
\n\n\n\n
Maintain electronic and hard-copy filing systems.
\n\n\n\n
Assist with expenses, cheque requisitions and general banking admin.
\n\n\n\n
Manage your own email inbox, ensuring timely responses and filing.
\n\n\n\n
Support timesheet entry for partners where required.
\n\n\n\n
Assist with billing tasks including pre-bills, bill edits, narratives, cover letters, eBilling and system posting.
\n\n\n\n
Process client/matter updates such as address amendments, payers and rate changes.
\n\n\n\n
Help the team meet WIP, billing and debtor targets by producing reports and correcting errors.
\n\n\n\n
Support new business intake tasks including conflict checks, file opening and engagement letters.
\n\n\n\n
Assist with quick-turnaround document work not suitable for Document Production.
\n\n\n\n
Coordinate meeting and event logistics including room bookings, refreshments, VC/dial-in and restaurant reservations.
\n\n\n\n
Arrange point-to-point travel including trains, flights, hotels and taxis.
\n\n\n\n
Update client information and internal databases (e.g., InterAction).
\n\n\n\n
Prepare files for archiving and manage retrieval procedures.
\n\n\n\n
Provide general administrative support such as mail handling, courier bookings, telephone cover and repro/DP submissions.
\n\n\n\n
Follow firm policies and procedures, maintaining accuracy, confidentiality and professionalism.
\n\n\n\n
Participate in team meetings, firm initiatives, training sessions and group activities.
\n\n\n\n
Take responsibility for your own development, training and improved working practices.
\n\n\n\n

Qualifications, Skills & Experience 5 GCSEs grade A*–C (including Maths and English).
\n\n\n\n
School/College leaver.
\n\n\n\n
CILEX desirable but not essential.
\n\n\n\n
Experience in a law firm or professional services environment is desirable.
\n\n\n\n
Typing speed of 45 wpm with 98% accuracy.
\n\n\n\n
Strong working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
\n\n\n\n
Excellent written and verbal communication skills.
\n\n\n\n
Ability to build strong, trusted working relationships.
\n\n\n\n
Highly organised with strong time-management skills.
\n\n\n\n
Ability to prioritise multiple tasks and manage competing deadlines.
\n\n\n\n
Strong attention to detail and proofreading skills.
\n\n\n\n
A proactive, problem-solving mindset with the ability to work independently.
\n\n\n\n
Strong teamwork skills.
