Have you ever led a complex office relocation from planning through to staff move-in? What were the biggest risks you faced, and how did you keep the business running with minimal disruption?
How do you balance infrastructure, budget, and people when delivering a relocation project and which of those has been the most challenging for you in practice?
Project Manager – Office Relocation
The Project Manager will lead and deliver a major office relocation project, moving staff from the current Admin Building. This role requires end-to-end leadership, ensuring the project is delivered on time, within budget, and to the highest standards of quality and compliance. The Project Manager will work closely with the Estates & Facilities Manager and other key stakeholders to manage vendors, infrastructure setup, and all aspects of the move.
Key Responsibilities
Project Leadership & Governance
Develop and maintain a detailed project plan, including timelines, milestones, and deliverables.
Establish project governance framework, ensuring regular reporting and updates to senior leadership.
Monitor risks, issues, and dependencies, implementing mitigation strategies.
Communication & Reporting
Provide clear and timely updates to leadership and stakeholders.
Prepare progress reports, dashboards, and presentations for governance meetings.
Stakeholder Management
Liaise with all key stakeholders (HR, IT, Estates & Facilities, Finance, PSM, Business Units) to ensure alignment and smooth execution.
Act as the primary point of contact for the relocation project.
Vendor & Contractor Management
Source, negotiate, and manage vendors for infrastructure, furniture, and relocation services.
Ensure compliance with contractual obligations and service-level agreements.
Budget & Financial Control
Prepare and manage the project budget, tracking costs and ensuring financial accountability.
Provide regular budget updates and variance analysis.
Infrastructure & Facilities Setup
Coordinate with Estates & Facilities Manager to ensure new office infrastructure (IT, furniture, utilities) is ready for occupancy.
Oversee space planning and allocation.
Relocation Execution
Plan and manage the physical move, minimizing disruption to business operations.
Ensure health, safety, and compliance standards are met during the relocation.
Employee Engagement Workstream
Liaise with key stakeholders in HR and Communications team to:
Develop and implement an employee engagement plan to keep staff informed and involved.
Organize town halls, Q&A sessions, and feedback mechanisms throughout the project.
Create communication materials (FAQs, newsletters, intranet updates) to ensure transparency.
Coordinate welcome activities and for staff at the new location.
Monitor employee sentiment and address concerns proactively.
Skills & Experience
Proven experience in managing large-scale office relocation or similar projects.
Strong project management skills (Prince2, PMP, or equivalent certification ).
Excellent stakeholder engagement and communication skills.
Experience in employee engagement and change management
Budget management and vendor negotiation experience.
Knowledge of facilities management and office infrastructure setup.
Ability to work under pressure and deliver within tight timelines.
Key Deliverables
Approved project plan and governance structure.
Successful relocation of staff within agreed timelines and budget.
Fully operational new office infrastructure.
Employee engagement plan executed with measurable outcomes.
Post-move review and lessons learned report.
