We are exclusively engaged to support a rapidly growing business based in Milton Keynes who are looking for a Project Assistant to join their high performing team at what is an exciting time of acquisition.

Reporting to the Head of Finance, you will work closely with the team Project Leads and/or Associate Directors to help maintain project momentum, support workflows and contribute toward a high-quality delivery.


This is an excellent opportunity for someone with strong administrative and coordination skills who thrives in a fast-paced, autonomous environment.


You will:


Support Invoicing:

  • Maintain and update invoice schedules based on client fee structures.
  • Ensure the timely approval and processing of invoices.
  • Carry out credit control activities including checking payment run dates, confirming invoice status, and following up on overdue payments.
  • Monitor and report against the debtor ledger to flag any risks.


Ensure Project Documentation & Compliance:

  • Ensure all project-related documentation is complete, accurate, and compliant.
  • Support Directors in maintaining organised records for audit purposes.
  • Help ensure contracts, schedules, and fee agreements are organised, filed and accessible.
  • Receive and manage project documentation such as appointments ensuring that contracts are reviewed by the legal team, co-ordinated for signature and safely stored for future access.


Support in resource scheduling:

  • Produce and maintain resource schedules in collaboration with Directors and Associate Directors.
  • Support ongoing resource planning for both current and future pipeline of works.
  • Help ensure alignment between scheduled resource time & future project pipeline feeding into project budgets or forecasts.


4. Provide general project finance support:

  • Provide financial & administrative support to ensure smooth delivery across multiple live projects.
  • Support in the coordination of internal meetings, reviews, and project reporting cycles.
  • Assist with document preparation as required.



You have:

  • Strong attention to detail with an ability to manage multiple tasks and deadlines.
  • Confidence in communicating with internal teams and external clients.
  • Financially literacy and comfort working with invoice schedules and payment tracking.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience in the use of project management system - CMAP or equivalent (preferred).


This role is based on-site in Milton Keynes.
