Property Assistant

The role works closely with the client - Property Management (PM) team, Technical Services Managers (TSMs), and on-site teams to maintain building standards, support occupiers, and uphold health and safety requirements. The client's portfolio covers a range of offices and retail estate in the heart of the City of London.
Type of contract: Full-time, Permanent
Hours: 40 per week (Monday-Friday, shift rota basis between 7 AM and 7 PM with flexibility as per business needs)
Salary: Up to £39,000 per annum

Main responsibilities
Administration & Customer Engagement
Manage site administration and customer meetings, producing records and sharing updates.
Oversee locker/cycle allocations and maintain high standards in signage and communal areas.
Deliver quarterly occupier presentations and provide customer support on digital platforms.
Operational Support
Keep kitchens/tea points stocked and monitor Helpdesk performance, escalating issues.
Process access/work permits within 24 hours and arrange/host contractor visits.
Hold structured bi-weekly reviews with the M&E provider.
Compliance & Risk Management
Monitor Health & Safety compliance, escalate risks, and report incidents immediately.
Complete monthly inspections of vacant units and review emergency procedures.
Maintain compliance documentation and Records for Buildings.
Technical & Engineering Support
Work with building, fabric, and engineering teams to maintain standards and accurate records.
Support engineering compliance, audits, and statutory requirements.
Assist with energy data reporting and attend monthly M&E performance meetings.
The ideal candidate will

Ideally, have at least one year of administrative experience in a similar role with strong organisational and administrative skills with attention to detail.
Knowledge of health and safety compliance and building management processes advantageous.
Ability to work collaboratively with key stakeholders.
Excellent communication and interpersonal skills for customer engagement.
Intermediate level in Microsoft Office and Excel.
Be enthusiastic with integrity, a can-do attitude, and great attention to detail.
Possess passion about delivering great service and taking responsibility for the contribution to the team.
Demonstrate an excellent command of the English language, both in verbal and written communication.
