Job Description

We are looking for a receptionist to join our Canary Wharf office on a part time permanent basis from 8:30am – 12:30 on a daily basis. This role serves as the first point of contact for all visitors, guests, and employees, providing a friendly and professional welcome. Key responsibilities include answering the phone, issuing visitor passes and creating security access passes, managing deliveries and distribution, ordering lunches and snack bar items, and working closely with colleagues to provide general administrative support across the office.

Everyday responsibilities include:

Maintain front of house operations, including welcoming visitors and staff, answering phones, assisting with queries, issuing visitors passes using Swift Connect, managing security access passes via C-Cure system, assigning lockers, and conducting H&S induction tours for new starters.
Manage mail, deliveries, and internal correspondence, ensuring accurate distribution and efficient dispatch of new starter packs, anniversary gifts, and recognition awards.
Coordinate hospitality and events, including ordering catering for lunches and internal events, supporting Welcome Week activities, and assisting with AV requirements in meetings.
Oversee office resources and facilities, including monitoring stock levels (snacks, supplies), maintaining the onsite library (cataloguing, lending, shelving), booking meeting rooms and desks, and reporting maintenance issues.
Support administrative duties such as photocopying, filing, data logging, and maintaining spreadsheets, including reconciliation of snack bar spend.Skills and experience for success:

Strong verbal and written communication skills, with a commitment to professionalism and confidentiality when handling sensitive matters.
Proactive problem-solver with a decisive approach to resolving issues and providing practical, positive solutions.
Highly detail-oriented, producing high-quality work while respecting and valuing colleagues, visitors, and employees.
Technically proficient, with strong competence in Microsoft Office and the ability to support others in using these tools effectively.
Demonstrates a strong service mindset, combining patience, empathy, effective listening, and clear communication to deliver excellent support.
