Job Title: Senior Facilities and Security Manager (MAT Cover)

FIXED TERM CONTRACT 12 MONTH MATERNITY COVER - Needed ASAP


Location: Multi-site (Head Office and retail locations)

Department: Operations

Reports to: Director of Operations


Direct Reports:

  • Facilities Manager
  • Security Logistics Specialist
  • Dotted Line: Office Manager and Executive Assistant


Purpose of the Position

The Senior Facilities and Security Manager is responsible for leading facilities operations, regulatory compliance (health & safety and fire safety), and security across all business locations, including retail sites and Head Office. The role also provides support on basic risk management and insurance-related matters.

This position focuses on safeguarding the organisation, its people, assets, and reputation by ensuring all locations are safe, compliant, and operating to a high standard. With support from a Facilities Manager, the role ensures consistent delivery of facilities excellence across all sites.

Working closely with cross-functional teams including Retail, Operations, HR, and Inventory, the role ensures a safe, secure, compliant, and resilient operating environment.


Key Responsibilities

Facilities Coordination & Operational Oversight

  • Provide strategic oversight of facilities standards and operational readiness across all locations.
  • Collaborate with the Facilities Manager to ensure sites are fully equipped and operationally effective.
  • Oversee planned and reactive maintenance at a governance level, ensuring appropriate prioritisation and escalation.
  • Act as the senior escalation point for facilities-related risks and operational issues.
  • Monitor contractor and service provider performance, ensuring service level expectations are met.
  • Partner with internal teams (e.g., IT, HR, Visual Merchandising, Projects) to integrate facilities requirements into operational changes and site updates.


Security

  • Lead and continuously improve the organisation’s security strategy and governance framework.
  • Oversee rota planning and performance of third-party security providers.
  • Foster strong working relationships between operational teams and security partners.
  • Deliver security awareness and training programmes across the business.
  • Act as the escalation point for security incidents, supporting investigations and follow-up actions.
  • Provide oversight for events, high-risk activities, and special projects as required.


Health & Safety

  • Provide senior oversight of Health & Safety across all locations, ensuring consistency in policies and processes.
  • Work with external consultants and internal stakeholders to maintain regulatory compliance.
  • Oversee statutory safety roles such as fire wardens, first aiders, and emergency response teams.
  • Lead crisis management in the event of serious incidents, ensuring effective communication and coordination.


Planning & Projects

  • Support office relocations and space planning aligned with business needs.
  • Collaborate with project teams on new site openings and developments, ensuring security, compliance, and risk considerations are met.


Insurance & Risk Management

(Supporting the Director of Operations as required)

  • Assist with insurance documentation, renewals, and data collation.
  • Support the preparation of operational information for audits and renewals.
  • Coordinate with brokers and insurers on administrative matters, escalating strategic issues as appropriate.
  • Track policy timelines and ensure documentation accuracy.
  • Support incident reporting and related documentation.
  • Escalate any emerging risks or compliance concerns to senior leadership.
