Role Overview
This is a key role within London Cost Management, providing an efficient and responsive level of support to the Commercial, M&E and CMES Partners and wider team, driving operational performance, ensuring expected deadlines and business targets are met.
Role Responsibilities
- Drive operational efficiencies and ensure team business targets are achieved.
- Assist with Operational, Partner and team meetings, managing actions and outcomes.
- Ensuring the completion of service reviews, mandatory training, time sheets and financial tasks/setting ready for invoicing within a timely manner.
- Overseeing internal audits and monitor outstanding actions.
- Diary management – proactively organising internal and external meetings, ensuring timely and accurate communication to all.
- Arranging complex travel bookings, preparing detailed travel itineraries and arranging visas.
- Liaising with recruitment and HR to assist with the onboarding of new team members.
- Organising events for service and sector growth and related activities.
- Organising internal activities and team socials.
- Document preparation and formatting, including presentations, CV’s and Bids under £100k.
- Liaising with the finance admin team where necessary with regards to invoices and assisting with enquiries.
- Managing COR forms, approvals, setting up of opportunities and contracts on the system and ongoing updates.
- Ownership and administration of external and internal Teams’ sites – including monitoring usage, managing members, folders, documents, links, planners and providing guidance.
- Providing training to the Partners and wider team with regards to business systems and processes.
Experience
- Previous experience in a similar role would be preferable.
- High level of IT competency, MS PowerPoint, Excel, Outlook and Word.
- Able to think pro-actively and logically.
- Able to stay professional and calm under pressure.
- Must maintain a high level of discretion and confidentiality at all times.
- Recognised as a client focused, positive collaborator who shares knowledge freely and offers support to their peers and seniors. Recognised as a team player with a strong willingness to learn.
- Demonstrates a positive and proactive approach to the role, and will be committed to delivering customer service excellence, with good commercial results.
