Job Title: Service Support & Administration Coordinator

Location: Hatfield (Avanza HQ)

Salary: £28,000 – £32,000 per annum (DOE)

Working Hours: Monday – Friday, 08:00 – 17:00 (40 hours p/w with 1 hour lunch breaks)

The Role

We are seeking a reliable, highly organised, and competent Service Support & Administration Coordinator to join our dynamic team. Working closely with the Service & Maintenance Manager, you will play a pivotal role in ensuring the seamless delivery of our service & maintenance contracts and the efficient coordination of our field operations.


Key Responsibilities

  • Operational Coordination: Act as the primary point of contact for service and maintenance tasks, including logging jobs, scheduling engineers, and maintaining proactive communication with clients.
  • Documentation & Compliance: Prepare essential work documentation such as RAMS (Risk Assessments and Method Statements), Test Sheets, and Quotations. Ensure all records remain up to date in alignment with industry accreditations.
  • Procurement Support: Facilitate "New Works" by opening Purchase Orders (POs), ordering required parts, and managing inventory requests.
  • Logistics & Portals: Organise site permits, update various client portals, and manage travel logistics (flights, hotels, and parking) for team members working away from home.
  • General Administration: Provide comprehensive administrative support to the management team to ensure daily operations run smoothly in a fast-paced environment.


Requirements

  • Industry Experience: Previous experience within a similar role specifically within the Security Industry.
  • Technical Proficiency: A working knowledge of Microsoft Office Suite (Outlook, Word, and Excel).
  • Organisation Skills: A proven ability to multitask, prioritise workloads, and remain calm under pressure in a busy office environment.
  • Communication: Excellent written and verbal communication skills with a professional telephone manner.
  • Security Clearance: Successful applicants will be required to undergo a full security background check.
