About Us:
We are a growing, self-funded childcare training provider, offering both long and short-term courses - including a 3-month NCFE CACHE Home-Based Childcare course and an 18-month NCFE CACHE LEVEL 3 Educator programme. We are committed to delivering a supportive, professional, and high-quality experience to all our learners, most of whom are self-funding.
The Role:
We're looking for a reliable, organised and friendly professional to coordinate learner progress, assessor communication, and key operational tasks. You'll play a pivotal role in making sure nothing falls through the cracks - from tracking learner progress, to organising assessor meetings, chasing payments, and onboarding new students. This is a hands-on, proactive role that combines operational management with liaison between learners and assessors.
Key Responsibilities:
- Monitor student progress on both courses and ensure timely assessor feedback
- Liaise with assessors (3 currently) and EQA to maintain standards
- Organise and chair standardisation meetings
- Review new learner application forms and handle onboarding communication
- Be the main point of contact for learners: proactive check-ins, reminders, encouragement
- Track and manage student payment plans/instalments (via spreadsheet or system)
- Support internal quality assurance processes and learner records
- Spot risks early (non-submissions, non-payments) and flag them to the management
- Maintain operational oversight and communicate regularly with the management
- Contribute ideas to improve learner experience and operational systems
- Organise and standardise communication and processes when launching new courses - including learner information, expectations, and system setup - to ensure consistency and clarity from the start
Person Specification:
Essential:
- Assessor qualification and experience
- Excellent organisational skills and attention to detail
- Strong interpersonal skills - warm, transparent, and proactive communication
- Experience liaising with learners and/or assessors
- Confident using spreadsheets, systems, and task tracking tools
- Able to take initiative and manage multiple priorities independently
Desirable:
- Experience organising standardisation or quality assurance meetings
- Background in childcare training or adult education
- Familiarity with payment tracking and small business operations
