Job Description
Role Summary
We are seeking a Sustainability & Quality Operations Support Executive to assist the Sustainability, Quality & Vetting team in maintaining and improving the company’s safety, quality, and environmental management systems.
It is well suited to an early-career maritime professional with either junior shore-based shipping experience or initial sea-going experience who is looking to develop a long-term career in maritime compliance and fleet support.
Please note full right to work in the UK is required for this role.
Responsibilities
Monitor vessel schedules and coordinate external audits and surveys including ISM, SQE and ISPS audits and Green Award surveys. Manage and process document change requests for company manuals and ensure updates are communicated to both office staff and vessels. Maintain and periodically update key regulatory documentation including SSP, SOPEP and PCSOPEP. Prepare and distribute compliance documentation and regulatory materials for newly acquired or managed vessels. Coordinate management review meetings, including preparation of materials and recording meeting minutes. Schedule and monitor monthly compliance checks, including unannounced alcohol testing and OWS verification processes. Maintain the company’s technical and regulatory library, ensuring both digital and physical documentation is up to date. Assist with invoice processing and purchase order approvals related to compliance and audit activities. Provide general administrative and operational support to the Sustainability, Quality & Vetting department as required.
Requirements
Diploma or Degree in a relevant discipline. 1-2 years’ experience in the shipping industry, OR approximately 1 year of sailing experience onboard vessels. Basic understanding of maritime regulations and ship management processes. Strong written and verbal English communication skills. Proficient in Microsoft Office (Word, Excel, Outlook). Highly organised with strong attention to detail and ability to work to tight deadlines. Strong interpersonal skills and ability to communicate effectively with both office teams and vessel crews.
